Job Summary:

Harris Kia is seeking a friendly, organized, and detail-oriented Appointment Coordinator to manage and schedule customer appointments for our service departments. The ideal candidate will serve as the first point of contact for customers, providing excellent customer service over the phone, via email, or other alternate forms of communication. This role is critical to ensuring a smooth and efficient experience for both customers and dealership staff.

Key Responsibilities:

  • Answer incoming calls and respond to customer inquiries in a professional and courteous manner
  • Schedule and confirm appointments for service visits
  • Follow up with customers to confirm or reschedule appointments as needed
  • Maintain appointment calendars for the service teams
  • Communicate appointment details to the appropriate team members
  • Ensure accurate data entry into scheduling systems
  • Make outbound calls for appointment reminders, service follow-ups, and promotional campaigns
  • Monitor and manage online appointment requests and leads
  • Collaborate with service managers to optimize scheduling efficiency
  • Maintain a clean and organized work space

Qualifications:

  • Previous experience in a customer service, receptionist, or administrative role, preferably in the automotive industry, is a plus
  • Excellent verbal and written communication skills
  • Strong organizational and multitasking abilities
  • Proficiency with phone systems, and computers
  • Comfortable working in a fast-paced, team-oriented environment
