Role Overview

The Admissions Manager oversees the Eastern Admissions team and ensures prospective clients receive timely, accurate, and supportive guidance throughout the intake process. This role leads operational workflows for inbound inquiries, file processing, and client placement, while developing a high‑performing team that delivers exceptional service to both individual clients and corporate partners.

Key Responsibilities

Leadership & Team Development

  • Provide strong leadership to drive continuous improvement in communication, intake, and client‑placement processes.
  • Build and develop the admissions intake function to support growth and operational excellence.
  • Collaborate with Business Development, Operations, and West/French Admissions teams to ensure consistent, high‑quality service delivery.
  • Coordinate onboarding and ongoing training for all client‑ and referent‑facing staff.
  • Support Business Development in maintaining and expanding corporate partnerships.
  • Monitor, optimize, and report on the admissions funnel, maintaining or improving conversion rates between key stages while reducing friction and dropout.

Service Excellence

  • Ensure a consistently high level of service for all referents and clients.
  • Lead escalation management and service‑recovery efforts.
  • Implement innovative, efficient procedures for client placement.
  • Address client‑safety concerns in accordance with EHN policies and procedures.
  • Contribute to client care‑plan development and follow‑up as needed.

Operations & Administration

  • Support hiring, onboarding, and performance management of Admissions staff.
  • Establish and track KPIs for admissions efficiency, service quality, and referent experience.
  • Oversee payroll, vacation requests, and sick‑time management.
  • Identify training and development needs and address them through coaching or formal programs.
  • Raise performance issues to the Director of Admissions when appropriate.
  • Lead quality‑improvement initiatives using departmental indicators, Salesforce data, and call monitoring.
  • Review complex assessments and collaborate with clinical leaders on final admission decisions.
  • Contribute to budget planning and monitor monthly variances.
  • Maintain and update policies and procedures related to referent admissions.

Professional Development & Organizational Contribution

  • Support EHN's network expansion initiatives.
  • Attend industry conferences and travel to EHN facilities when required.
  • Participate in accreditation activities, quality‑assurance projects, and policy development.
  • Ensure staff remain informed and trained on newly introduced policies and procedures.

Qualifications

  • Bachelor's degree in business, health sciences, or a related field.
  • 5+ years of experience in sales, case management, or care coordination.
  • 3+ years of leadership experience.
  • Demonstrated success in sales and/or high‑touch customer service environments.
  • Knowledge of call‑centre operations is an asset.
  • Strong communication, relationship‑building, and organizational skills.
  • Experience in healthcare or addiction treatment is preferred.
  • Experience collaborating with AI Development Teams in implementing and leveraging such tools in a service based environment a strong asset.
