Office Manager
Position Summary
We are seeking a highly organized Office Manager / Operations Coordinator to support the daily operations of our growing respiratory care service. This role is central to coordinating patient services, managing administrative workflows, and supporting clinical and field teams.
Key Responsibilities
Patient & Service Coordination
- Schedule and coordinate oxygen setups, deliveries, swaps, and pickups
- Act as the primary point of contact for clients, families, and caregivers
- Track active client services and equipment assignments
Billing & Administration
- Prepare and submit invoices to provincial programs, facilities, and private-pay clients
- Follow up on accounts receivable and maintain billing documentation
- Maintain accurate patient records and service logs
Inventory & Compliance
- Track, reorder, and manage oxygen equipment and supplies
- Maintain equipment logs and service documentation
- Support privacy, regulatory, and compliance requirements
Team & Vendor Support
- Coordinate schedules for respiratory therapists and field staff
- Communicate with suppliers and service vendors as required
Reporting
- Assist with weekly operational reporting and reconciliations
- Support month-end administrative and financial close
Qualifications
Required
- Minimum 2 years of experience in healthcare administration, medical office work, or operations
- Strong organizational, communication, and time-management skills
- Comfortable handling confidential health information
- Proficient with office software and scheduling systems
- Calm, detail-oriented, and responsive in a fast-paced environment
Assets (Nice to Have)
- Experience in home respiratory care, oxygen services, or medical equipment
- Knowledge of provincial healthcare funding programs
- Familiarity with healthcare billing processes
