Job Description – Buyer (Charlottetown)

Salary: $65,000 - $75,000

Position Summary

The Buyer supports the procurement function at Auxly's Charlottetown facility by executing daily purchasing activities, maintaining data integrity, and ensuring timely delivery of materials and services. This position is responsible maintaining PO accuracy, including price, qty and ETAs to support successful 3-way matching as part of the P2P process.

This position will work closely with the Purchasing Manager, cross‑functional stakeholders, and approved suppliers to support production continuity, cost control, in compliance with Auxly's procurement policies.

Key Responsibilities

Purchasing & Ordering

  • Generates & manage POs through internal requisition process.

  • Constantly monitor and communicate with vendors related to order confirmations, lead times, pricing accuracy, and for resolution of discrepancies.

  • Actively update the ETAs and follows up on any delays from suppliers, while simultaneously escalating to purchasing manager so that the seamless supply chain can be maintained. Ensure timely receipt of open POs.
  • Follow Auxly's P2P processes, ensuring appropriate approvals, documentation, and policy compliance.
  • Track deliveries and coordinate with Receiving, Inventory, and Production teams to work on overages, shortages and damages.

Supplier Coordination

  • Communicate with suppliers to request quotes, confirm orders, expedite deliveries, and resolve issues.
  • Maintain positive vendor relationships and escalate risks (pricing variances, delays, quality issues) as needed.
  • Support sourcing activities by collecting data, benchmarking costs, and validating supplier information.

Data & Reporting

  • Maintain accurate item data, pricing, supplier records, and purchasing documentation in ERP systems and SharePoint locations.
  • Assist with generating KPI reports (e.g., On‑Time Delivery, PO cycle time, cost savings, spend visibility).
  • Help track contract terms, vendor scorecards, and category spend as required.

Compliance & Controls

  • Ensure purchasing activities follow internal policies, quality standards, audit requirements, and regulatory considerations unique to the cannabis industry.
  • Support continuous improvement of SOPs, workflows, and data governance.
  • Participate in investigations and report material shortages, receiving discrepancies, or invoice issues.

Required Skills

  • Work closely with cross functional teams like Inventory, QA, Production, Finance (AP), and Maintenance teams to support operational needs.
  • A solid understanding of procurement best practices.
  • Strong attention to detail and ability to manage multiple priorities in a fast‑paced environment.
  • Excellent communication and organizational skills.
  • Strong problem‑solving abilities with a willingness to learn.

Qualifications

3-5 years of purchasing experience in manufacturing environments.

Proficiency in ERP/MRP systems like SAGE.

Strong skill set in Microsoft Office especially Excel.

Supply Chain or Purchasing Certifications considered an asset
