As a Hearing Care Coordinator, your primary responsibility is to provide extraordinary concierge-level service to our customers.

In this position, you will be the "face" of the practice and the crucial liaison between our customers and the Hearing Care Professionals.

You will contribute to the business success of Beltone through the provision of effective customer service and relations, interpersonal communication, effective time management, accurate cash management reporting and delivering sales/marketing goals.

Job Duties and Responsibilities:

  • Greets customers when they enter
  • Answer phone/make phone calls for various purposes
  • Confirm appointments
  • Schedule appointments for the assigned office and/or any applicable out-of-town clinics
  • Manage incoming phone calls, deliver and return messages
  • Successfully utilize the True Block scheduling to maximize test opportunities for the office and any out of town clinics
  • Order and sell products
  • General office and administrative duties
  • Pull charts for customers scheduled for hearing tests
  • Stock shelves (batteries, pamphlets, supplies etc.)
  • Invoicing for hearing aids and other products
  • Customer information entry into clinical management system
  • Prepare the out of town clinic schedules for the Hearing Care Professionals to take with them
  • Receive hearing aid repairs and enter appropriate information into the system
  • Receive mail, process incoming payments and distribute mail
  • Mail batteries/supplies when customers request using the postage machine
  • Mail hearing aids when requested
  • Perform follow up activities with customers and other leads
  • Be able to process correctly all clinic forms as they relate to customer care (i.e., customer records, financial forms, and insurance contracts where applicable).
  • Develop and execute lead generation test opportunities through business networking and outreach within the community
  • Manage customer database and call list
  • Submit insurance claims and follow-up with insurance plans where applicable
  • Manage account receivables and payables
  • Cash management including making bank deposits and balancing out sales media
  • Make sales calls to help generate business
  • Assist the Hearing Care Professionals
  • Perform a variety of cleaning duties to maintain a clean work environment
  • Follow all Beltone corporate policies and procedures
  • All other duties as assigned

Desired Qualifications:

  • High School diploma or equivalent is required
  • 2 years of previous office experience is preferred
  • 2 years of previous sales and customer service experience is preferred
  • Must be well organized and able to multitask effectively
  • Must have the ability to communicate effectively in English, verbal and written
  • Must be proficient in MS Office and possess good computer skills
  • Must have the ability to sit at a desk for 70%-90% of the work day
  • Must be self-motivated and highly organized
  • Must have a valid drivers license

Job Summary

The Care Coordinator plays a vital role in ensuring that patients receive comprehensive and coordinated care throughout their healthcare journey. This position involves working closely with patients, healthcare providers, and administrative staff to facilitate communication, manage appointments, and maintain accurate medical records. The ideal candidate will possess a strong understanding of medical terminology and have experience in a medical or dental office setting.

Duties

  • Serve as the primary point of contact for patients, addressing inquiries and providing support throughout their care experience.
  • Schedule and coordinate patient appointments, ensuring efficient use of resources and minimizing wait times.
  • Maintain accurate electronic medical records (EMR), documenting patient interactions, treatment plans, and follow-up actions.
  • Collaborate with healthcare providers to ensure seamless communication regarding patient care plans and updates.
  • Assist in the management of patient referrals to specialists and other healthcare services as needed.
  • Educate patients on treatment options, procedures, and follow-up care instructions to enhance their understanding and compliance.
  • Ensure compliance with all relevant regulations and standards within the medical office environment.

Qualifications

  • Proficiency in medical terminology is essential for effective communication within the healthcare team.
  • Previous experience in a medical office or dental office setting is highly desirable.
  • Familiarity with electronic medical records (EMR) systems to ensure accurate documentation and data management.
  • Strong organizational skills with the ability to manage multiple tasks efficiently in a fast-paced environment.
  • Excellent interpersonal skills to foster positive relationships with patients and staff alike.
  • A background in general office experience will be beneficial for managing administrative tasks effectively. This position is ideal for individuals who are passionate about patient care and are looking to contribute positively to a dynamic healthcare team.
