Leeswood Construction is a commercial and industrial builder recognized for reliable project delivery, strong teamwork, and exceptional client service. We are seeking a highly organized and proactive Administrative & Operations Assistant to support senior leadership and accounting operations.

Position Summary

The Administrative & Operations Assistant provides administrative, executive, operational, and accounting support across the organization. This role supports the Vice-President of Operations, and Project Accountant, ensuring smooth daily operations and effective coordination across departments.

Key Responsibilities

Executive & Leadership Support

  • Provide confidential executive-level administrative support directly to the Vice President, Operations, including calendar and inbox management, report preparation, expense tracking, and general administrative duties
  • Support the VP OP's direct reports by assisting with scheduling and administrative coordination to ensure efficient departmental operations
  • Arrange and manage travel logistics for the SVP OP and leadership team, including airfare, accommodations, and ground transportation
  • Coordinate and schedule meetings involving executive leadership, internal teams, and external business partners
  • Assist with logistics planning for large meetings and events, including booking meeting rooms, setting up spaces, and arranging catering or amenities

General Manager & Office Support

  • Assist the General Manager with scheduling, meeting coordination, and day-to-day administrative tasks
  • Prepare meeting agendas, take minutes, and follow up on action items
  • Coordinate communication between leadership, project managers, clients, and subtrades
  • Manage office operations, including ordering supplies and maintaining organized workspaces
  • Assist with company records, safety documentation, and compliance files
  • Help organize company events, training sessions, and internal communications

Accounting & Project Support

  • Assist with general accounting tasks, including invoicing, billing, and accounts payable/receivable
  • Process subtrade invoices, receipts, and expense submissions
  • Support monthly progress billings by preparing spreadsheets and required documentation
  • Assist with reconciliations and preparation of internal financial reports
  • Ensure accurate data entry and proper recordkeeping within accounting systems

Qualifications

  • Some experience or education in accounting, bookkeeping, or administration
  • Strong proficiency in Microsoft Office (Excel and Outlook required)
  • Excellent organizational skills with strong attention to detail
  • Ability to manage confidential information professionally
  • Strong time management skills and ability to meet deadlines
  • Ability to work independently and as part of a team
