Position Summary:

The Banquets Sales Coordinator supports the sales and events team by managing inquiries, coordinating event details, preparing proposals and contracts, and ensuring smooth communication between clients, vendors, and internal departments. This role plays a key part in driving banquet sales, delivering exceptional client service, and ensuring successful execution of events.

Key Responsibilities: Sales Support & Client Relations

  • Respond to banquet and event inquiries via phone, email, and walk-ins in a timely and professional manner.
  • Assist in preparing sales proposals, contracts, and event orders (BEOs).
  • Maintain strong relationships with clients from initial inquiry to post-event follow-up.
  • Conduct site tours and provide detailed information about banquet spaces, menus, and services.
  • Upsell additional services such as AV packages, décor, bar upgrades, and accommodation options.

Event Coordination

  • Gather all event details and ensure accurate communication to the banquet operations team.
  • Coordinate with F&B, culinary, front desk, and housekeeping departments to ensure event readiness.
  • Maintain and update event files, floor plans, and client communication logs.
  • Attend pre-event meetings and assist with day-of coordination as needed.
  • Ensure all final details, guarantees, and payments are collected before the event.

Administrative & Organizational Tasks

  • Update and manage the event booking system, ensuring accurate data entry.
  • Track deposits, payments, and contract deadlines.
  • Prepare daily, weekly, and monthly event reports for management.
  • Assist the sales and catering manager with marketing initiatives, promotions, and sales outreach.
  • Maintain banquet inventory records (linens, décor, supplies) when required.

Qualifications:

  • Previous experience in banquet sales, hospitality, or event coordination preferred.
  • Strong communication and customer service skills.
  • Excellent organizational skills with the ability to manage multiple events simultaneously.
  • Proficiency in MS Office; experience with event management or hotel PMS/CMS systems is an asset.
  • Ability to work evenings, weekends, or holidays based on event schedules.
