Ratcliff LLP is seeking a Legal Administrative Assistant in our Wills & Estates department. This role is a 3 month leave replacement contract with the possibility of a permanent position once the contract ends, based on the needs of the firm at that time.

This position works closely with the department's other staff and lawyers and the ideal candidate will have at least 2 year's expertise with Wills & Estates and possess a passion for exceptional client service, accuracy and a willingness to learn.

This position is full-time, in-office at our North Vancouver location.

Key Responsibilities

  • Opening/closing files
  • Drafting Wills, Powers of Attorney, Representation Agreements, Trusts and related documents
  • Assisting lawyers with clients' correct execution of documentation
  • Conducting Wills Registry filings and reviewing Land Title Office searches
  • Preparing invoices and reporting letters to clients
  • Managing lawyers' calendars and active file lists
  • General administrative duties as required
  • Obtaining title searches, tax certificate and ordering strata forms once the file is opened
  • Reporting on discharges to other side and following up on the discharges with the other side or the lenders
  • Following up on the strata holdbacks and strata documents
  • Maintaining and updating conveyance/realtor spreadsheets, print copy weekly for lawyers
  • Manage the real estate email inbox
  • May include preparing the final reports to the clients and the lenders

Qualifications

  • Graduate of a Legal Administrative Assistant program
  • Minimum 2 years of recent legal experience with Wills & Estates
  • Ability to take direction and follow written and verbal instructions
  • Strong organizational and communication skills
  • High attention to detail and accuracy
  • Professional and courteous when dealing with clients, lawyers, and staff
  • Proficient with Microsoft Office
