Reporting to the Team Lead, the Program Assistant is responsible for collecting, organizing, validating, and maintaining participant data to support operational and strategic decision-making in our Seniors Aging in Place program. This role ensures data accuracy, consistency, and integrity across systems, and supports reporting, analysis, and compliance requirements. The ideal candidate is detail-oriented, analytical, and comfortable working with multiple stakeholders.

 This is a full-time, permanent position. 

What You Will Do

  • Collect, enter, and maintain accurate data in internal databases and systems.
  • Monitor data quality and perform regular audits to ensure accuracy and completeness.
  • Develop and maintain data tracking tools, dashboards, and reports.
  • Assist in the development and documentation of data management procedures and workflows
  • Provide administrative assistance to front line team members
  • Answer calls, take accurate messages, and direct calls as necessary
  • Collaborate with internal teams to understand data needs and ensure timely and accurate reporting.
  • Support data analysis and interpretation to inform program planning and performance monitoring.
  • Ensure compliance with data privacy and security standards.
  • Provide training to staff on data entry and reporting tools as needed.
  • Provide participant support by covering front desk duties as necessary. 
  • Attend meetings as required.
  • Assist with special events, as needed. 
  • Perform additional duties as assigned. 

What You Bring    

  • Post-secondary education in business administration or a related field is required. 
  • Proven experience in data entry, data coordination, or a similar role.
  • Proficiency in Microsoft Excel and data management tools, such as HMIS, is preferred. 
  • Strong attention to detail and commitment to data accuracy.
  • Excellent organizational and time management skills.
  • Ability to work independently and collaboratively in a team environment.
  • Strong communication skills, both written and verbal.
  • Familiarity with data governance and privacy regulations (e.g., PIPEDA, FOIP)
  • Experience in nonprofit organizations and the social services sector is preferred. 
  • High degree of comfort working with program participants and community partners.
  • First Aid (Basic or Intermediate) – Level C CPR & AED within 30 days of hire date; certification must be valid for a minimum of 6 months upon hire. 
  • A satisfactory vulnerable sector criminal record clearance is required.
  • Demonstrated knowledge, understanding and commitment to the Truth and Reconciliation Commission of Canada: Calls to Action is preferred.

Working Environment and Hours


•    Predominantly working out of the Murdoch Manor/King Tower (East Village, Calgary, AB).


•    Standard hours are 8:30 am to 4:30 pm, Monday to Friday. 


•    This is a full-time, permanent position. 


• FTE (37.5 hours/week)


•    Continuous extended periods of sitting, with some standing and walking (sometimes up and down stairs).
