Role Description

This is a full-time, on-site role for a Human Resource Coordinator located in Concord, ON. The Human Resource Coordinator is responsible for supporting the Human Resource Department, including but not limited to the monitoring of timecards, tracking attendance metrics, assist in the processing of payroll, health and safety (JHSC), recruiting, onboarding and offboarding. This role requires strong attention to detail, excellent organizational skills, and the ability to work collaboratively with various departments, including agency employees all while multi-tasking.

Job Duties and Responsibilities:

  • Assist in the Processing of payroll for all employees on a bi-weekly basis and tracking of agency employees' hours on a weekly basis, ensuring accuracy and compliance with company policies and Provincial and Federal Legislation.
  • Collaborate with Production Supervisors to adjust daily hours and ensure accurate timekeeping.
  • Help maintain and update employee payroll records, including changes in job status, deductions, and benefits.
  • Setting up new employees in Spire and NTE.
  • Verify timesheets and attendance records for accuracy and resolve any discrepancies daily, while tracking and monitoring attendance. Issuing attendance disciplines with direction from the head of Human Resources.
  • Assisting in the Preparation and distribution of Payroll Reports and summaries to Senior Management.
  • Handle payroll-related inquiries from employees and provide timely and accurate information.
  • Ensure compliance with federal and provincial payroll and employment regulations, including ensuring timely remittances to relevant government departments.
  • Processing ROE's in a timely manner.
  • Assist with year-end payroll processes, including but not limited to T4s.
  • Support in managing relations with Agencies (issue Purchase Orders, time reporting, invoice validations, process reviews, etc.)
  • Coordinate, prepare and attend orientations of all hourly employees.
  • Assist with recruitment efforts by screening and attending Interviews with candidates and the hiring team
  • Attend all JHSC meetings, record minutes and ensure employees' information boards are maintained with all proper documentation for both facilities.
  • Maintaining all training metrics for Health and Safety for 2 facilities.
  • Assist with other administrative assignments assigned by Human Resources and the Health and Safety Team.
  • Backfill for HR and Finance when team members are on vacation.
  • Direct Reporting – The Human Resources Department
  • Sub-Reporting – support to The VP of Finance (reports relating to headcount, overtime, budget vs actual hours, submission of payroll etc.)

Qualifications and experience requirements:

·    At least 2 years' experience in Payroll in a manufacturing environment is mandatory.

·  Experience with ERP systems (Spire or alike) and Time Keeping systems (Nation Time) is a strong asset.

·     Strong knowledge of employment laws, payroll processes, regulations, and best practices.

·     Legal background an asset

·     Must have sound knowledge of ESA- Employment Standards Act.

·     Proficiency in Microsoft Office Suite, particularly Excel.

·     Excellent attention to detail and organizational skills.

·     Strong communication and interpersonal skills.

·     Ability to handle confidential information with integrity.

·     Ability to work independently and as part of a team.

·     Must have a go getter personality while remaining ethically intact.

·     Must have a valid drivers license to travel between 2 facilities located in Concord ON.

Schedule:

Monday to Friday, 8:00 am – 4:30 pm.

Reports to:
Head of Human Resources, with a dotted line reporting structure to VP of Finance on payroll.

Salary: $50,000- $65,000
