Key Responsibilities

Ticket & Documentation Management

  • Create and maintain accurate employee profiles in LMS and HRIS systems.
  • Verify that all required data fields are complete and accurate to prevent system or payroll errors.
  • Ensure new hire information is consistent across all systems and accessible to relevant stakeholders.
  • Review, validate, and upload training and safety tickets to confirm workers meet all client and site requirements.
  • Upload and maintain Alcohol & Drug (A&D) test results and related documentation within required systems.
  • Track, audit, and maintain accurate compliance and credential records for all active workers.

Site Access Coordination

  • Manage the flow of workers through the onboarding process, tracking progress and ensuring all steps are completed before site assignment.
  • Submit badge and site access requests for approved workers in alignment with site security and client protocols.
  • Coordinate with site administrators and vendor management teams to confirm approved contractor and vendor status.
  • Follow up on outstanding approvals to ensure timely mobilization and avoid access delays.

Communication & Collaboration

  • Maintain professional and timely communication with site leads, managers, and vendor partners.
  • Work closely with the broader onboarding team to ensure a coordinated and seamless onboarding experience.
  • Provide feedback and recommendations to enhance onboarding workflows and documentation clarity.

Qualifications

  • Previous experience in workforce onboarding, administration, or site coordination within an industrial or construction setting preferred.
  • Strong computer literacy and ability to manage multiple systems and data sources accurately.
  • Excellent communication, problem-solving, and customer service skills.
  • Experience with training management systems (such as BIS Trainer or similar platforms) considered an asset.
  • Ability to manage multiple priorities while maintaining attention to detail and compliance standards.

Working Conditions

  • Working on Site Environment and/or in office
  • Personal safety equipment will be required, e.g. steel-toed safety boots
