Your New Role and Team Sanctuary, a world leader in building physical AI for general purpose robots, is looking to hire a highly organized Project Coordinator Intern for 8 months to support our growing portfolio of robotics projects. As we scale our work with partners, contractors, and internal teams across time zones, this role will be essential in keeping projects structured, on track, and well-communicated.
Reporting to a Staff Technical Project Manager, you'll work closely with engineering, design, operations, HR, procurement, and external partners to track project plans, support contractor engagements, improve our project management tooling and coordinate travel. You'll gain hands-on experience working with Jira, Confluence, and Jama in a fast-paced hardware and software environment, supporting everything from robot test environment setup to financial tracking and vendor coordination.
This is a strong opportunity for a student (or recent graduate) in engineering, business, project management, operations, or a related field to build practical project coordination and planning experience in a cutting-edge AI and robotics company. Our Success Criteria
  • Maintain and track project schedules, tasks, and milestones in Jira, Confluence, and Jama so work stays organized, visible, and on track.
  • Improve and streamline our project management tools and processes in Jira, Confluence, and Jama, including creating or refining workflows, templates, and dashboards for better project tracking.
  • Plan and manage scope of work for external contractors, working with engineers and project managers to clarify deliverables, expectations, and acceptance criteria, and keep status up to date.
  • Support contractor administration by helping ensure NDAs and statements of work are in place, and coordinating with procurement and finance on purchase orders and invoicing.
  • Support financial tracking and purchasing for assigned projects by working closely with the Buyer and project team to monitor spend, purchases, and budget alignment.
  • Set up and manage task environments for robot testing by coordinating with designers, facilities, and procurement on equipment selection, installation logistics, and commissioning.
  • Coordinate international travel with HR and scheduling with partners overseas in Asia, including aligning across time zones, booking meetings, and ensuring clear agendas and follow-ups.
Qualifications and Experience
  • Currently enrolled in, or recently graduated from, a Bachelor's degree or diploma in Business, Engineering, or a related field.
  • Comfort working with spreadsheets (e.g., Excel or Google Sheets) for basic data analysis, tracking, and reporting.
  • Experience (through school projects, internships, co-ops, or extracurriculars) with project coordination, task tracking, or working on structured project teams.
  • Familiarity with project management tools such as Jira, Smartsheet, Trello, Asana, MS Project, or similar.
  • Experience creating or maintaining schedules, trackers, or simple reports for teams is an asset.
  • Exposure to working with contractors, vendors, or external partners is an asset.
  • Experience in a hardware, robotics, or software development environment is considered an asset but not required.
Skills
  • Strong organizational and time management skills; able to manage multiple requests and deadlines in a fast-paced environment.
  • Clear written and verbal communication skills to interact with internal stakeholders and external vendors.
  • Capable of building and maintaining simple dashboards, logs, and checklists to provide visibility into project health.
  • Ability to translate high-level objectives into concrete tasks, timelines, and owners.
  • Ability to follow structured processes and standard operating procedures, while also suggesting improvements when you see them.
  • Proficiency with common productivity tools such as Google Workspace or Microsoft Office (Docs/Word, Sheets/Excel, Slides/PowerPoint).
