Position Summary

The Women in Leadership Foundation (WIL) is seeking a highly organized, proactive, and mission-driven
Project Lead

to support the successful delivery of the Emerging Leaders Placement Project (ELPP), a national initiative that supports youth (ages 14–30) in gaining meaningful volunteer experience, leadership development, and mentorship opportunities.

The Project Lead will act as the primary operational support to the Director of Program Strategy & Management and will play a central role in coordinating team activities, managing youth and nonprofit recruitment workflows, supporting Indigenous engagement initiatives, and ensuring the smooth execution of all project-related tasks.

This position requires a strong communicator, a strategic thinker, and a compassionate leader with exceptional organizational skills and the ability to manage multiple priorities in a fast-paced environment.

Key Responsibilities
Project Coordination & Administration

  • Coordinate and schedule meetings for the project team, youth, mentors, partners, and external stakeholders.
  • Manage project calendars, timelines, deliverables, and reporting requirements.
  • Support the Director in preparing agendas, meeting notes, follow-ups, and communication briefs.
  • Ensure project documents, data, and communications are organized, updated, and accessible.
  • Other related duties may be assigned as needed to support the successful delivery and evolving needs of the Emerging Leaders Placement Project

Team Leadership & Recruitment Oversight

  • Lead and support the Youth Recruitment & Placement Team, ensuring all tasks and workflows are completed on time.
  • Oversee volunteer onboarding processes, matching youth with nonprofit partners across Canada.
  • Provide guidance, mentorship, and problem-solving support to staff and volunteers.
  • Coordinate with Communications, Social Media, and Chapter Leads to ensure alignment of messaging and outreach.

Indigenous Engagement & Collaboration

  • Work closely with WIL's First Nations Knowledge Keeper and Indigenous Mentorship Committee.
  • Support culturally safe program development and Indigenous youth participation.

Event & Program Support

  • Assist with planning and execution of leadership development webinars, mentorship sessions, volunteer fairs, and national events.
  • Manage logistics such as scheduling, speaker coordination, participant communication, and technology support.
  • Support the production of program materials, including slide decks, forms, templates, and calendars.

Stakeholder & Partner Relations

  • Assist with outreach to nonprofits, schools, universities, and community partners across Canada.
  • Respond to inquiries, provide project information, and help onboard new nonprofit partners.
  • Support relationship-building and ensure partners receive high-quality communication and follow-up.

Data Tracking, Reporting & Compliance

  • Maintain accurate volunteer and partner data for CSC reporting (hours, demographics, placements, engagement).
  • Prepare progress reports, dashboards, and documentation for internal and external stakeholders.
  • Support evaluation activities and ensure compliance with funder requirements.

Technical & Professional Skills

  • Strong project coordination and administrative experience.
  • Exceptional organizational skills with the ability to manage multiple priorities and deadlines.
  • Experience supervising or supporting teams.
  • Strong written and verbal communication skills.
  • Proficiency with Google Workspace, Zoom, Calendly, and spreadsheets.
  • Comfort with technology platforms such as Wix, Canva, and basic data management tools (an asset).

Leadership & Interpersonal Skills

  • Ability to build positive relationships with youth, staff, volunteers, and nonprofit partners.
  • Strong interpersonal skills with a compassionate, youth-centered approach.
  • Comfortable leading meetings, facilitating discussions, and representing WIL professionally.
