About Pollin Fertility

Pollin Fertility is a modern, patient-centered reproductive healthcare centre providing safe, high-quality, inclusive fertility care. As a technology-forward clinic, we integrate advanced reproductive medicine with innovative digital tools—including our in-house EMR—to improve patient experience and clinical outcomes.

We are seeking an experienced Clinic Operations Manager (RN) with direct fertility nursing experience to lead daily clinical operations and nursing functions at our Toronto clinic. This on-site leadership role reports to the Medical Director and VP of Operations and works closely with physicians, the IVF laboratory, nursing, patient services, finance, and facilities teams.

Position Summary

The Clinic Operations Manager (RN) is responsible for ensuring the safe, efficient, and patient-centered delivery of fertility services across all clinical programs—IVF, IUI, Low Intervention, and cycle monitoring. This role requires a deep understanding of fertility protocols, ART workflows, and patient pathways, along with proven nursing leadership experience.

The ideal candidate is a collaborative, solutions-oriented leader who excels in dynamic clinical environments and is committed to compassionate, inclusive fertility care.

Key Responsibilities

  • Oversee day-to-day operations of all fertility programs, ensuring safe, efficient patient flow and high-quality care.
  • Collaborate with physicians and the IVF Lab Director to align workflows with evidence-based fertility practices.
  • Monitor daily volumes and proactively adjust staffing and schedules to support cycle demands.
  • Lead development, review, and implementation of SOPs for ART, cycle monitoring, and interdisciplinary workflows.
  • Identify and implement process improvements that enhance outcomes and the patient experience.

2. Nursing Leadership & Clinical Oversight

  • Provide strong clinical leadership, supervision, and mentorship to the nursing team.
  • Deliver direct clinical care when required, including venipuncture, injections, medication teaching, cycle review, and patient counselling.
  • Interpret and communicate physician orders accurately, ensuring continuity across treatment cycles.
  • Maintain high standards of clinical documentation in the Pollin EMR and ensure compliance across the team.
  • Lead ongoing nursing education and competency development specific to fertility and reproductive care.

3. Patient Care & Experience

  • Serve as a clinical escalation point for patient questions or concerns, ensuring compassionate, timely support.
  • Partner with Patient Services to ensure informed, seamless, and empathetic care across all stages of treatment.
  • Promote inclusive care, with sensitivity to the needs of 2SLGBTQIA+ patients and diverse family structures.
  • Support patients emotionally as they navigate the challenges of infertility and ART.

4. Quality, Safety & Compliance

  • Ensure compliance with CNO standards, College of Physicians and Surgeons requirements, accreditation bodies, and internal policies.
  • Uphold rigorous infection prevention and control practices.
  • Prepare for inspections and audits; manage quality indicators, incident reporting, and corrective actions.
  • Champion a culture of safety, ethical practice, and continuous quality improvement.

5. Team Management & Performance

  • Lead, coach, and evaluate nursing and clinical support staff; participate in hiring and onboarding.
  • Oversee clinical scheduling and staffing for a 7-day-per-week operation (7 AM–3 PM).
  • Conduct regular team meetings and support transparent communication across departments.
  • Foster a culture of accountability, collaboration, and professional growth.

6. Facilities & Vendor Oversight

  • Oversee clinic environment, equipment, alarms/security, and facility readiness to ensure safe fertility operations.
  • Coordinate with facilities services and service providers; manage clinical vendor relationships.
  • Respond to after-hours operational or facility issues when necessary.

7. Resource & Budget Management

  • Manage labour resources, clinical budgets, overtime, and attendance in partnership with Finance.
  • Oversee inventory, medications, consumables, and clinical equipment essential for ART and monitoring.
  • Assist in capacity planning for cycle volumes and clinic growth.

8. Technology & EMR Optimization

  • Collaborate on enhancements to Pollin's EMR to ensure it supports fertility workflows efficiently.
  • Train clinical staff on accurate documentation and digital workflow standards.

9. Expansion & Strategic Initiatives

  • Support planning, operational readiness, and training for satellite clinics or new service lines.
  • Implement best practices and innovations in reproductive healthcare and clinic operations.
  • Travel within Ontario may be required.
