The Role:
We're seeking a strategically minded hands-on Medical Clinic Manager to consolidate, elevate, redefine  and lead our service delivery team. You'll be responsible for building systems that support growth, ensuring the seamless delivery of diagnostic and treatment related services and fostering a culture of excellence and consistency across all aspects of our integrated care model.

Key Responsibilities:
The person we hire will play a central role in shaping the daily rhythm and long-term success of Vivagen's integrated care model. Your responsibilities will include:

•     Staff Management: Lead hiring, onboarding, training, supervision, and performance evaluation of clinical and administrative staff. Oversee attendance and scheduling to ensure coverage and continuity.

•     Operational Efficiency: Design and implement policies and procedures that streamline clinic operations, enhance workflow, and support scalability.

•     Patient Care Collaboration: Work closely with healthcare providers across disciplines to ensure consistent delivery of services that meet Vivagen's high standards of personalized, whole-person care.

•     Regulatory Compliance: Ensure operations meet relevant regulations, privacy laws, accreditation standards.

•     Scheduling & Resource Optimization: Monitor and manage patient scheduling and resource allocation to maximize efficiency and minimize wait times.

•     Patient Records Management: Maintain the integrity, accuracy, and confidentiality of patient records in accordance with legal and ethical standards.

•     Inventory Oversight: Manage inventory systems for medical supplies and equipment, ensuring availability and cost-effectiveness.

•     Communication & Coordination: Serve as a key point of contact for internal teams, patients, and external vendors, fostering clear and compassionate communication.

•     Quality Improvement: Identify opportunities for service enhancement and lead initiatives that improve patient outcomes and satisfaction.

•     Facilities Management: Ensure the clinic environment is safe, welcoming, and aligned with Vivagen's standards for excellence.

•     IT Liaison: Coordinate with Vivagen's third-party vendor to maintain reliable and secure technology systems.

•     Social Media & Client Communications: Develop and manage client-facing content for platforms such as Instagram and LinkedIn to support engagement and education.

What You Bring:

• years experience managing clinical operations in a multi-disciplinary or integrative care setting

•     Clear understanding of clinical workflows, compliance, and patient-centered care

•     Ability to lead through change and build processes and systems that scale

•     Passion for longevity, innovation, and making advanced care accessible

•     Experience supporting and delivering world class service 

•     Excellent communication, leadership, and organizational skills
