Job Summary
We are seeking a full-time Studio Administrator to manage procurement, project coordination, and office operations. This is a hands-on role focused on vendor relations, materials management, and financial administration, including QuickBooks.
This position is ideal for someone experienced in office operations, procurement, and bookkeeping, who enjoys working in a creative studio environment and contributing to high-end residential and commercial projects.
Key Responsibilities
Procurement & Vendor Management:
- Source, order, and track materials and supplies from vendors
- Maintain accurate vendor contacts, pricing, and order histories
- Receive, verify, and label materials for projects
- Manage timelines for materials and production to ensure on-time delivery
Financial & Office Administration:
- Process new orders, create work orders, issue invoices, and input data into management software
- Manage deposits, final payments, and accounts using QuickBooks
- Handle basic accounting tasks such as expense tracking, reconciliations, and reporting
- Maintain accurate project and financial records
Project Coordination:
- Monitor ongoing projects and production schedules to ensure deadlines are met
- Coordinate installation schedules and logistics with vendors and clients
- Assist with client communications and order updates
Web & Marketing Support (Optional/Nice-to-Have):
- Update the company website (Squarespace) with new projects and events
- Support social media and newsletter content as needed
Experience & Qualifications:
- Minimum 2 years of experience in administration, procurement, or office operations
- Strong QuickBooks experience is essential
- Excellent organizational and multitasking skills
- Detail-oriented and able to manage multiple priorities independently
- Experience in design, textiles, or interior design is a plus but not required
Required Software Skills:
- QuickBooks
- AutoCAD / SketchUp / Adobe Suite a plus, but optional
