We are looking for a detail-oriented, autonomous, and highly competent professional to join us part-time with the potential to grow into a full-time role.
Role Overview:
As our Part-Time Bookkeeper & Financial Operations Coordinator, you will play a key role in keeping our financial operations running smoothly. This is more than standard bookkeeping, you will reconcile accounts, manage payments, prepare monthly P&Ls, and create monthly client statements. Duties
- Reconcile accounts and credit card transactions in QuickBooks Online (including US and Canadian accounts)
- Organize client and company expenses received via email
- Input company-only expenses into QuickBooks Online
- Manage company credit card payments monthly
- Create monthly client statements using a combination of software and manual input
- Process monthly client payments via RBC ACH payments
- Process contractor payments twice a month via RBC ACH payments
- Pay our employee twice a month via QuickBooks Online and distribute paystubs
- Calculate and pay commissions to Territory Managers monthly
- Move funds across different accounts for all territories as needed
- Prepare monthly detailed P&Ls, broken down by location
- Flag discrepancies, potential issues, and recommend process improvements
- Support annual accounting and tax processes with our accountant
- Pull reports from our PMS system as needed
Skills
- Proficiency in Quickbooks Online
- Strong skills in Google Sheets/Excel, including creating P&Ls
- Strong understanding of bookkeeping principles and practices
- Experience managing ACH payments or willingness to learn
- Experience reconciling accounts for multiple territories or divisions
- Experience with accounts payable and payroll processing
- Excellent attention to detail and organizational skills
- Ability to perform bank reconciliation and account analysis effectively
- Strong analytical skills to identify discrepancies and propose solutions
- Good communication skills for collaboration with team members and stakeholders
- Self-starter capable of working independently in a fully remote environment
