We're seeking a Mechanical Project Coordinator to join our Commercial Projects team. This role provides vital administrative, estimating, and organizational support to ensure our projects run smoothly from pre-construction through close-out. The ideal candidate is detail-oriented, proactive, and thrives in a fast-paced, team-focused environment.

Responsibilities include (but are not limited to):

  • Support Project Managers in coordinating all aspects of commercial mechanical projects from tender through completion.
  • Assist with estimating activities, including take-offs, gathering supplier quotes, preparing bid documentation, and organizing tender submissions.
  • Track and update pricing, change orders, and scope adjustments throughout the project lifecycle.
  • Prepare and maintain project documentation, including schedules, budgets, purchase orders, submittals, and RFIs.
  • Coordinate procurement and material tracking to ensure timely delivery and cost accuracy.
  • Maintain organized project files, drawings, and correspondence in both digital and physical formats.
  • Schedule and record project meetings, distribute minutes, and monitor follow-up actions.
  • Support communication between clients, subcontractors, vendors, and internal departments.
  • Collaborate with accounting and project management teams to support job costing, progress billing, and reporting.
  • Monitor project progress, identify potential scheduling or documentation issues, and assist in resolving them.
  • Provide general administrative and coordination support to the Commercial Projects department as needed.

Qualifications Include:

  • 2–4 years of experience in construction, mechanical, estimating, or project coordination (commercial or industrial preferred).
  • Strong organizational, multitasking, and communication skills with keen attention to detail.
  • Experience assisting with tender submissions, material take-offs, or pricing breakdowns considered an asset.
  • Proficiency in Microsoft Office and/or Google Workspace; familiarity with estimating or project management software preferred.
  • Understanding of construction documentation such as submittals, drawings, RFIs, and change orders.
  • Ability to collaborate effectively with multiple departments and manage competing priorities in a deadline-driven environment.
  • A positive, professional, and solutions-oriented attitude.
