Job Summary
We are seeking a highly organized and detail-oriented Operations Administrator to support our daily business functions. The ideal candidate will manage administrative tasks, coordinate communication, and ensure smooth operations across departments. This role requires proficiency in office software, excellent customer service skills, and the ability to handle multiple responsibilities efficiently. Experience with medical or dental office procedures is a plus, along with strong organizational and data entry skills.
Responsibilities
- Serve as the primary point of contact for external communications, including answering phone calls, responding to emails, and greeting visitors.
- Maintain familiarity with general manufacturing processes.
- Oversee daily office operations, including maintaining office and kitchen supplies and ensuring a clean and organized workspace.
- Update welcome TV screens as needed.
- Coordinate catering when requested.
- Enter all labour sheets accurately and in a timely manner.
- Monitor and maintain the visitor sign-in sheet and visitors' parking.
- Handle incoming and outgoing mail and packages.
- Create and maintain internal company contact lists.
- Assist with administrative tasks such as data entry, document preparation, and filing.
- Maintain labour data in Microsoft D365 by entering labour hours to jobs.
- Review and transfer engineering hours from D365 to OnePlan.
- Review all data for accuracy prior to month-end
- Assist with planning and coordinating company events, meetings, and conferences, ensuring all logistics are managed effectively.
Experience
- Proven experience as an Office Administrator or in a similar administrative role.
- Minimum 3 years of experience in a manufacturing environment.
- Strong organizational and multitasking skills.
- High attention to detail with strong accuracy.
- Experience with Microsoft D365 is considered an asset.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Job Type: Full-time
Pay: $47,000.00-$50,000.00 per year
