Procurement Specialist

Position Summary: The Procurement Specialist will oversee the sourcing, ordering, and management of furnishings, fixtures, and equipment (FF&E) for client projects at a boutique residential interior design firm. This role requires close collaboration with designers, project managers, and vendors to ensure timely, accurate, and high-quality procurement for each project.

Key Responsibilities:

  • Prepare detailed quotes and proposals for FF&E in collaboration with project managers and designers.
  • Obtain, compare, and file vendor quotes across all procurement categories, including plumbing, drapery, stone, flooring, custom furniture, decorative details, and hardware.
  • Manage custom furniture orders throughout the process, including placement, coordination with vendors, tracking production timelines, and ensuring timely delivery.
  • Manage the ordering process from initiation to delivery, including placing orders, tracking progress, coordinating with our dedicated receiving warehouse and updating delivery timelines during monthly order tracking meetings.
  • Order, receive, and track samples, ensuring accurate records are maintained throughout the procurement process.
  • Organise and oversee installation days, verifying all items for accuracy, quality, and condition upon arrival.
  • Maintain and manage trade accounts and vendor relationships as needed.
  • Assist project teams with procurement-related questions and support the design process through vendor research and sourcing.

Qualifications:

  • 3+ years of experience in procurement, preferably within interior design, architecture, or related industries.
  • Strong organizational and record-keeping skills.
  • Strong attention to detail and accuracy skills.
  • Proficiency with procurement software, spreadsheets, and tracking systems.
  • Excellent communication and negotiation skills.
  • Ability to thrive in a fast-paced setting and manage multiple projects simultaneously under tight deadlines.
