Join Our Team as a Medical Office Assistant
We are looking for a self-motivated, highly organized, and detail-oriented Medical Office Assistant to support the inter-professional team and patients so that optimal care can be provided to patients of the Perth Family Health Team (PFHT). The ideal candidate will have excellent organizational abilities, and multitasking capabilities.
Key Responsibilities:
- Greet and welcome patients/clients/visitors to Sunset in a respectful and polite tone
- Verify and update patient information in the electronic medical records (EMR) system
- Assist patients/clients/visitors with completing necessary forms and paperwork
- Book/reschedule appointments as requested by providers
- Maintain patient waitlists by confirming that service is still required
- EFILE faxes in EMR, scan documents into EMR for providers
- Follow-up on internal referrals received
- Call patients/clients/participants to remind of appointments (chart confirmation)
- Follow-up with no-shows or cancellations (chart the reason given)
- Manage multi-line phone system
- Update administration manuals and forms used at Sunset
- Maintain a clean and organized front desk and waiting areas
- Manage mailroom activities (sending and receiving correspondence)
- Prepares pamphlets and packages, stamps requisitions
- Sanitize kinesiology, physiotherapy, and counselling rooms after each appointment
- Stock rooms and identify supplies that need to be ordered
- Always maintains confidentiality of all data and information
- Assists with orientation of new staff to the role and its communication and charting systems
- Identifies potential changes to scope of responsibility to improve patient service
- Maintains a smooth, positive working relationship with key contacts and positive public relations on behalf of the Perth Family Health Team
- Demonstrates a commitment to the philosophy and objectives of the Perth Family Health Team and its staff
- Performs other duties as assigned
Education/Training/Certifications:
- Post secondary school graduate
- Diploma in Medical Secretarial Program and/or related Office Administration course
Experience:
- Previous experience in a physician practise/hospital/healthcare setting
- Effective communication/interpersonal skills
- Knowledge of medical terminology
- Computer literacy
- Proficient at Microsoft Office and PS Suites

- Ability to multi-task and set priorities while managing high volume daily interactions

- Working in a Medical Clinic/Health Care environment: 1 year (preferred)
