We are seeking a highly organized and detail-oriented Administrative Assistant to support our construction team. The ideal candidate will have experience in administrative roles within the residential construction industry and be capable of handling a fast-paced, dynamic work environment. You'll assist in document management, scheduling, communication, and day-to-day office operations that keep our projects running smoothly.

Key Responsibilities:

  • Support management with administrative tasks
  • Schedule meetings, coordinate calendars, and manage tracking schedules
  • Answer phones, emails, and direct communications to the appropriate departments
  • Maintain supply inventory and order materials as needed
  • Billing support tohelp the billing department running smoothly, create financial statements, assist with processing invoice packages.
  • Assist in processing timesheets, updating contract binders and credit card reports
  • Input and update project data in construction management software (e.g., Procore)
  • Track Ministry of Ontario compliance documents for all sites.
  • Update schedules, order materials, award contracts for Director
  • Communicate professionally with subcontractors, and vendors
  • Maintain confidentiality and secure handling of sensitive project and personnel information

Qualifications:

  • High school diploma or GED required; associate's or bachelor's degree preferred
  • 2+ years of administrative experience; residential construction industry preferred
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • Familiarity with construction software tools is a plus (e.g., Procore, QuickBooks)
  • Excellent organizational, communication, and time management skills
  • Ability to multitask and prioritize tasks under tight deadlines
  • Strong attention to detail and problem-solving abilities

Job Type: Full-time

Pay: From $45,000.00 per year
