Administrative Assistant

We are seeking a highly organized and detail-oriented Administrative Assistant to support our construction team. The ideal candidate will have experience in administrative roles within the residential construction industry and be capable of handling a fast-paced, dynamic work environment. You'll assist in document management, scheduling, communication, and day-to-day office operations that keep our projects running smoothly.
Key Responsibilities:
- Support management with administrative tasks
- Schedule meetings, coordinate calendars, and manage tracking schedules
- Answer phones, emails, and direct communications to the appropriate departments
- Maintain supply inventory and order materials as needed
- Billing support tohelp the billing department running smoothly, create financial statements, assist with processing invoice packages.
- Assist in processing timesheets, updating contract binders and credit card reports
- Input and update project data in construction management software (e.g., Procore)
- Track Ministry of Ontario compliance documents for all sites.
- Update schedules, order materials, award contracts for Director
- Communicate professionally with subcontractors, and vendors
- Maintain confidentiality and secure handling of sensitive project and personnel information
Qualifications:
- High school diploma or GED required; associate's or bachelor's degree preferred
- 2+ years of administrative experience; residential construction industry preferred
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Familiarity with construction software tools is a plus (e.g., Procore, QuickBooks)
- Excellent organizational, communication, and time management skills
- Ability to multitask and prioritize tasks under tight deadlines
- Strong attention to detail and problem-solving abilities
Job Type: Full-time
