Role description:
The RoDARS Intake Coordinator will support the City's RoDARs review process by screening, processing and verifying permit applications submitted through the RoDARS system. The role focuses on reviewing traffic control layouts, updating system fields, ensuring completeness of submissions and coordinating with internal teams to support congestion management and roadway operations.
This position is well-suited for candidates with foundational civil/transportation knowledge who enjoy technical review, structured processes and operational coordination.
Role accountabilities:
- Review incoming RoDARS applications for completeness, accuracy and compliance with City requirements.
- Interpret basic traffic control plans and identify potential roadway or lane impacts.
- Update relevant fields in RoDARS, including the Traffic Impact Summary (TIS).
- Communicate with applicants or internal teams regarding missing or unclear information by calling the applicants and explaining them of the shortcoming in the submissions.
- Maintain accurate logs, documentation and status updates on assigned applications.
- Support congestion management by escalating conflicts or complex impacts to the Supervisor.
- Participate in training sessions, process refreshers and knowledge-transfer activities.
- Coordinate with the team and City staff during the transition period.
Qualifications & Experience:
- Diploma or degree in Civil Engineering, Transportation Engineering, Planning or an equivalent technical field.
- Ability to read and understand basic engineering drawings or traffic control layouts.
- Knowledge of, or willingness to learn, OTM Book 7.
- Strong attention to detail and comfort with structured workflows.
- Effective communication and coordination skills.
- Proficiency with Outlook, Excel and other Microsoft tools.
- Experience on digital permitting/asset systems (RoDARS is an asset but not required) is preferred.
- Previous experience in transportation, municipal operations, permitting, or construction coordination is preferred but not mandatory.
- Understanding of traffic operations or roadway impacts and experience in similar services is an added asset
