The Business Support - Coop, provides front-line support to residents, businesses and staff at the municipal office. This role is responsible for greeting and assisting visitors, answering phone calls and emails, providing information about municipal services, and performing general administrative tasks to support the efficient operations of the office.

Core Responsibilities:
Customer Service Support
  • Serve as the first point of contact for customers, including greeting and engaging visitors, providing information and direction on services, answering telephones, and responding to email inquiries.
  • Support by directing inquiries to the appropriate department or staff member when necessary.
  • Support and coordinate facility rentals and program scheduling.
  • Receive and process payments, as required.
Administrative and Clerical Support
  • Perform general office duties such as data entry, photocopying, scanning, filing and document organization.
  • Maintain accurate and organized records, as per policy.
  • Assist with scheduling and setting up for meetings.
  • Draft correspondence, forms, and documents.
  • Draft communication for social media and website.
  • Conduct research, as requested.
Collaboration, Continuous Improvement and Additional Responsibilities
  • Recommend improvements to administrative processes and systems to support continuous improvement within the administration team.
  • Follow Township policies, the Safety Manual and provincial legislation.
  • Undertake special projects and perform other duties as assigned.
Education, Experience and Skills:
  • Enrolled in a College or University program, in Business, Finance, Accounting, Office Administration, or equivalent, considered an asset.
  • Experience in using Microsoft Office tools, including Excel, Word, PowerPoint, and Outlook.
  • Strong verbal and written communication skills.
  • Friendly, approachable, and professional demeanor.
  • Good organizational and multitasking skills.
  • Ability to work independently and as part of a team.
  • Comfortable providing service in a public facing role and over the phone.
Preferred Education, Experience and Skills
  • Knowledge of legislation affecting municipalities (e.g. Municipal Act, MFIPPA, etc.) and understanding of municipal programs and services, including Council protocols, considered an asset.
  • Familiarity with municipal programs and services, considered an asset.
Working Conditions:

Physical Demands

  • Primarily sedentary, occasional lifting of light objects up to 10 lbs.
  • Extended periods of sitting or computer use may cause moderate fatigue or eye strain.

Mental Demands

  • Must manage multiple inquiries, interruptions, and priorities while maintaining a professional and positive demeanor.
  • Handle confidential information with discretion and professionalism.

Working Conditions

  • Works in an office environment.
