Hours of Work: 35 hours per week, Monday to Friday, 8:30 a.m. to 4:30 p.m.

Job Summary:

The Executive Assistant provides high-level executive, administrative, and confidential support to the Chief Administrative Officer (CAO). This position is designated as non-union and exempt due to the confidential nature of the work, which includes support for labour negotiations, legal matters, senior personnel files, and other sensitive corporate initiatives. The role also supports public communications, assists with corporate coordination, and ensures timely and professional engagement with internal and external stakeholders. The successful candidate will demonstrate sound judgment, political acuity, and the ability to handle sensitive information with the highest level of discretion.

Key Responsibilities:

  • Provide senior-level executive support to the CAO, including calendar coordination, travel arrangements, correspondence management, and meeting preparation.
  • Handle confidential labour relations files, including documentation and coordination related to union negotiations, grievance processes, and workplace investigations.
  • Support the CAO in the review, management, and organization of legal files and liaise with legal counsel as required.
  • Draft, proofread, and edit confidential reports, presentations, contracts, minutes, and internal correspondence.
  • Prepare and maintain sensitive records, ensuring strict confidentiality and secure access controls.
  • Organize and attend confidential meetings and negotiation sessions, prepare materials and notes, and track action items.
  • Support special projects involving strategic planning, policy development, and senior-level decision-making.
  • Assist in coordinating Town events and communications materials related to corporate or strategic initiatives.
  • Manage content on the Town's website and social media platforms to ensure timely, accurate, and professional public communication.
  • Assist with media inquiries, prepare press releases and official statements, and ensure alignment with corporate communications protocols.
  • Maintain compliance with all municipal policies, including those governing confidentiality, access to information, and communication standards.
  • Collaborate with other departments to gather information and provide executive-level coordination where required.
  • Assist with reception or general duties as needed, while maintaining focus on priority responsibilities.

Skills & Competencies:

  • Strong proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook) and experience with content management systems.
  • Excellent written and verbal communication skills, with a demonstrated ability to manage sensitive correspondence and public messaging.
  • Proven experience working with confidential and privileged information, particularly in legal, labour, or executive contexts.
  • Exceptional organizational and prioritization skills, with the ability to manage multiple deadlines and adapt to changing priorities.
  • High level of political acuity, discretion, and professionalism.
  • Familiarity with municipal government operations, labour environments, and governance processes is a strong asset.

Qualifications:

  • Education: Post-secondary education in business administration, public administration, legal studies, or a related field. A combination of equivalent education and experience will be considered.
  • Experience: Minimum of 2 years in an executive assistant or legal/HR support role, preferably within a municipal or public sector environment involving confidential and labour-related matters.
  • Bilingualism (English/French) considered an asset.
