Position Summary
The Senior Title Searcher is responsible for the conducting title searches on properties, preparing them for the registration of a Tax Arrears Certificate. They will execute the required procedures and ensure that all the requirements of the pertinent legislation and regulations are adhered to. They will interact by email and by telephone with our clients when required and ensure that they are always provided with an outstanding level of service. They will work both individually, and as part of a close-knit team.
Duties and Responsibilities
Under the supervision of the General Manager, the duties and responsibilities of the Senior Title Searcher include, but are not limited to, the following:
· Ordering property parcel from Teraview;
· Performing title search, including full 40-year registry searches;
· Performing execution searches;
· Identifying interested parties;
· Contacting LRO if necessary;
· Compiling and entering data into custom software;
· Using our custom software to create the required letters and/or documents;
· Assembling files (virtual or otherwise);
· Becoming thoroughly familiar with the procedures and requirements set out in Part XI of the Municipal Act;
· Working with the Realtax team;
· Occasionally assisting other departments;
· Being familiar and knowledgeable of our procedures and software, including:
o our customized software;
o our fee structures and invoicing;
· Dealing with clients and advising them on the requirements of tax registrations;
· Identifying properties eligible for Direct Transfer process;
· Mentoring other Title Searchers including:
o Training new hires including Realtax processes;
o Quality control of their work, identifying and tracking errors;
o Answering technical questions
· Assisting Administrative Assistants with questions regarding property and mailing addresses
· Checking Tax Sale Files for Tax Sale Specialist
Other
· Other duties as assigned.
Minimum Requirements
· Ability to work under pressure and meet tight timelines;
· Understanding of the Ontario Land Registry system (Registry and Land Titles);
· Ability to plot metes and bounds descriptions;
· Excellent eye for details;
· Strong organizational and time-management skills;
· Proficient in Teraview;
· Knowledge of Word, Excel, Outlook and OnLand;
· Superb communication skills, both written and verbal.
Key Relationships
This position interfaces with internal and external contacts:
· Internal: All other Realtax Employees
· External: Representatives from over 200 Municipalities
Working Conditions
· Work normal business hours
· Able to work on a computer for long periods of time;
· Required to work in a busy office environment which may result in constant interruptions;
· Required to have an excellent attention to detail and high levels of accuracy; and
· Required to meet a number of deadlines which may cause stress.
Job Types: Full-time, Permanent
