Your opportunity:

Reporting to the Associate Director, Graduate Academic Services and working closely with the Finance Manager, the Graduate Funding and Awards Officer plays a vital role in the administration and disbursement of graduate funding and awards within the Department of Computer Science. As a key member of a collaborative team, the Officer enhances the quality of graduate student services by ensuring the timely and accurate delivery of funding packages, awards, and stipend payments. The incumbent provides guidance and support throughout the funding cycle, interpreting policies, procedures, and guidelines while maintaining clear communication with students andstakeholders. Utilizing systems such as ROSI, the Officer monitors and reconciles graduate funding and award accounts, prepares complex statistical and financial reports to inform decision-making, and safeguards the integrity of award records and data entry. This position is central to supporting the graduate community by upholding accuracy, transparency, and efficiency in all aspects of graduate funding administration.

Note: this is two year term opportunity.

Your responsibilities will include:

  • Advising students on academic and/or financial matters by providing options and consequences incorporating personal circumstances impacting academic success and an understanding of an individual's background
  • Analyzing and making recommendations on award funding allocation
  • Implementing plans for awards programs and related objectives
  • Providing detailed information regarding financial awards
  • Coordinating activities related to the preparation of annual graduate funding packages
  • Assessing and making recommendations on student funding applications and the appropriate disbursement of funds
  • Analyzing complex statistical reports and/or financial information for important decision-making
  • Keeping well-informed on changes to policies, procedures, collective agreements, and applicable legislated requirements

Essential Qualifications:

  • Bachelor's Degree or acceptable combination of equivalent experience.
  • Minimumfour years' related experience in administering graduate student funding and/or post-secondary finance within a large post-secondary institution
  • Demonstrated experience preparing, reviewing, and revising domestic and international graduate funding letters
  • Experience advising graduate students, staff, and faculty on funding packages, awards, and related graduate policies and procedures
  • Experience processing award payments and cancelations
  • Superior computer and database management skills, manipulating and analyzing data, and producing statistical information and data visualization for decision-making
  • Strong customer service orientation; tact and diplomacy in dealing with students, staff and academics while maintaining confidentiality in working with student information
  • Experience reviewing existing administrative processes, making suggestions for process improvement, and implementing recommended changes
  • Ability to manage conflicting priorities and deadlines and respond to changing work priorities quickly and effectively
  • Advanced skills in MS Office including Word, Excel, and SharePoint, with the ability to organize data and generate reports
  • Strong verbal and written communicationskills and ability to communicate complex financial procedures to a range of audiences with varying levels of financial knowledge
  • Demonstrated ability to exercise a high level of confidentiality, professionalism, good judgment, initiative, tact and discretion
  • Accurate data entry and attention to detail
  • Self-motivated, proactive, and demonstrated ability to work independently while also being an effective team player

Assets (Nonessential):

  • Experience with the University's Human Resources Information System (HRIS) and Repository of Student Information (ROSI) or equivalent systems
  • Familiarity with research grants
  • Experience with domestic and international student loans and bursaries
