Position purpose :
Reporting to the supervisor, academic delivery support, and working closely with the director, assessment and evaluation, performs planning, co-ordination and support duties related to assessments and evaluations in the Undergraduate Medical Education (UGME) program.
Specific accountabilities :
Exams: Plans and co-ordinates exam creation and management processes in collaboration with other co-ordinators and unit heads, as well as the leads on content and rotations for the French and English components of the pre-clerkship and clerkship. Ensures the exam question approval, development, translation and modification processes are working effectively. Updates the questions in the Elentra exam question bank. Advises and supports the director, assessment and evaluation, as well as managers and other co-ordinators on any administrative matters related to the exam creation process. Works closely with Medtech to create exams in the online platform. Reviews videos that are flagged for potential evidence of cheating during exams. Organizes workshops on drafting and reviewing exam questions.
Evaluation: Co-ordinates and sustains the means to evaluate the teaching staff, the curriculum and the entrustable professional activities (EPAs). Updates information and evaluation forms in Elentra and One45.
Reports: Compiles and drafts reports for committees, and completes timely followup on action items. Provides EPA committee members with reports documenting progress on students' overall EPA objectives. Provides reports in preparation for accreditation reviews.
Administrative support: Provides administrative support to the assessment executive committee and the EPA committee. Acts as a resource person on all matters related to policies and procedures on the creation of exams and assessments in compliance with program and University regulations.
Communication: Drafts correspondence to provide internal and external partners with information. Updates the assessment and evaluation website. This includes drafting content, co-ordinating translation and establishing the communication schedule.
Continuous improvement: Diagnoses problems and makes recommendations on how to solve them, and ensures that these recommendations are implemented. Develops, implements and reviews processes and procedures to maximize productivity and effectiveness. Suggests policies and procedures for implementation, along with an operations schedule, based on the academic calendar and work agenda. Determines the resources required to meet deadlines. Plans, develops and applies work procedures and tools to improve service delivery and quality.
Knowledge, experience and skills
Essential qualifications
University degree in business administration, or an equivalent combination of education and experience
Three years of experience in a related field
Other necessary skills:
Knowledge of university undergraduate programs; knowledge of the UGME program in particular (an asset)
In-depth knowledge of University and Faculty policies (an asset)
Experience in managing projects and priorities
Ability to work well under pressure and organize work according to strict deadlines, as well as strong organizational skills
Experience in analyzing academic files, and proven experience in interpreting, communicating and applying university regulations and procedures
