The Royal College of Physicians and Surgeons of Canada is a national, nonprofit organization established in 1929 by a special Act of Parliament to oversee the medical education of specialists in Canada. The Royal College partners with patients, Fellows, residents, and other health care collaborators to lead specialty medical education through setting standards, assessment, and enabling continuous learning so that we can provide the best care possible for patients.
Reporting of the Team Lead - Exam Production, you will provide high-quality facilitation and guidance to exam boards by coordinating their exam development and delivery activities. You will drive creation of examination materials through editing, translation, exam board revisions and verify the accuracy of the final materials. Acting as a single point of contact, you will offer advice, support communication among board members, and liaise with other Royal College units. You will address audiences of 10 or more to give short presentations of processes. This position may require travel, including some overnight stays of consecutive days. The Exam Facilitator is required to be in person during the live exam cycle.
Here's an insight into your typical day to day:
- Manage exam cycle on an annual basis with the exam board Chair, develop a project schedule and use project management methodologies to ensure the timely and accurate delivery of Royal College examinations.
- Collect and maintain data on exam related requirements used to plan and execute live exam day activities. This includes but is not limited to logistics, technology, and equipment.
- Support the exam board by monitoring key milestones related to the exam development process for completion, including editing, translation, comparative reading, external reviews, and quality assurance.
- Prepare, format, modify and verify accuracy of final examination materials.
- Create and maintain item banks and image banks for all exam components.
- Coordinate and facilitate meetings for exam chairs, exam board members, and other Royal College units to plan all board meetings and events, including in-house and remote meetings, and examination days. This would include setting dates, sending invitations, tracking attendance and expense claim requests.

- College diploma plus three to five years' experience providing direct support and service in a client-focused environment or equivalent in experience,

- Committee management experience and strong interpersonal skills,
- Training, coaching and public speaking experience,
- Ability to read, analyze, and interpret general business communication, professional journals, and technical procedures,
- Attention to detail and organized,
- Proficiency in MS Office applications including MS Project; Adobe Photoshop and PowerPoint,
- Ability to collaborate and work in a teamwork environment,
- Must be able to travel as required, including some overnight stays of consecutive days,
- Bilingualism is required

Il compte aujourd'hui plus de membres, mais sa vision reste la même : faire progresser l'apprentissage des médecins spécialistes pour offrir les meilleurs soins de santé à la population. Le Collège royal fait équipe avec les patientes et patients, les Associées et Associés, les médecins en formation, ainsi que d'autres membres de la communauté des soins de santé pour être un chef de file en matière de formation médicale spécialisée en établissant des normes, en procédant à des évaluations et en favorisant l'apprentissage en vue d'optimiser les soins.
Relevant de la ou du chef d'équipe, Production des examens, vous faciliterez la tâche des comités d'examen et leur fournirez un soutien de grande qualité en coordonnant les activités de développement des examens et le déroulement de ces derniers. Vous dirigerez la production des documents des examens tout au long du travail d'édition, de traduction et de révision par les comités d'examen, et vérifierez l'exactitude des documents finals. En tant que principale personne-ressource, vous fournirez des conseils, favoriserez la communication au sein des comités d'examen et collaborerez avec d'autres unités du Collège royal. Vous présenterez des processus à un groupe de 10 personnes ou plus. Ce poste peut vous amener à voyager et à effectuer des séjours de plusieurs nuitées consécutives.
Aperçu de votre rôle au quotidien
- Gérer le cycle annuel des examens avec la présidence des comités d'examen, établir un calendrier de projet et recourir à des méthodes de gestion de projet pour assurer le bon déroulement des examens du Collège royal.
- Recueillir et tenir à jour des données sur les exigences liées aux examens afin de planifier et de mener à bien les activités le jour de l'examen, dont la logistique, ainsi que la technologie et l'équipement nécessaires.
- Appuyer le comité d'examen en surveillant les étapes clés du processus d'élaboration des examens, dont l'édition, la traduction, la lecture comparative, les révisions externes et l'assurance de la qualité.
- Préparer, mettre en page, modifier et vérifier l'exactitude des documents finals des examens.
- Créer et maintenir des banques de questions et des banques d'images pour toutes les composantes des examens.
- Coordonner et faciliter la tenue de réunions pour la présidence des comités d'examen, les membres des comités d'examen et les autres unités du Collège royal afin de planifier l'ensemble des réunions et des activités des comités, dont les réunions sur place et à distance et les journées d'examen. Ces tâches consistent notamment à choisir les dates, envoyer les invitations, prendre les présences et traiter les demandes de remboursement des dépenses.
Ce profil vous correspond?
- Diplôme collégial et de trois à cinq ans d'expérience du soutien et des services directs dans un milieu axé sur le service à la clientèle ou expérience équivalente.
- Compétences en gestion de projet et en rédaction.
- Expérience de la gestion de comités et excellentes compétences relationnelles.
- Expérience de la formation, du coaching et en tant qu'oratrice ou qu'orateur.
- Aptitude à lire, à analyser et à interpréter des communications d'affaires générales, des revues professionnelles et des procédures techniques.
- Minutie et sens de l'organisation.
- Maîtrise de l'utilisation des logiciels Microsoft Office, dont MS Project, Adobe Photoshop et PowerPoint.
- Aptitude à collaborer et à travailler en équipe.
- Capacité de voyager au besoin, y compris d'effectuer des séjours de plusieurs nuitées consécutives.
