Overview

We are seeking a detail-oriented and proactive Proposal Coordinator to join our dynamic team. The ideal candidate will play a crucial role in managing the proposal development process, ensuring that all submissions are timely, compliant, and of the highest quality. This position requires strong leadership skills and a strategic mindset to support business development initiatives and drive project success

Key Responsibilities:

Tender and Proposal Coordination

  • Regularly monitor and identify relevant online tender opportunities.
  • Carefully review tender invitations, terms, and conditions to understand requirements and submission procedures.
  • Prepare and compile all necessary documentation for tender proposals, ensuring compliance with submission guidelines and deadlines.
  • Coordinate with internal departments to gather required information for bids and proposals.
  • Maintain records of all tender submissions, results, and related correspondence.

Client Relationship Management

  • Act as the primary point of contact for all client communications.
  • Manage the company's general mailbox and ensure timely responses to client inquiries.
  • Route emails or client requests to the appropriate departments or personnel when required.
  • Maintain and nurture positive relationships with clients through professional and proactive communication.
  • Make occasional site visits to meet clients, discuss service performance, and strengthen relationships.

Administrative and Coordination Support

  • Maintain organized digital and physical records of proposals, contracts, and client communications.
  • Assist with preparing client reports, service updates, or presentation materials when needed.
  • Support management with any business development or administrative tasks related to client relations or tendering.

Qualifications and Skills:

  • Post-secondary education in Business Administration, Communications, or a related field (or equivalent experience).
  • Prior experience in preparing tenders, bids, or proposals is preferred.
  • Strong understanding of business correspondence and professional communication.
  • Excellent written and verbal communication skills.
  • High attention to detail and ability to manage multiple tasks under tight deadlines.
  • Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint).
  • Ability to work independently and collaboratively within a team environment.
  • Valid driver's license and willingness to travel occasionally to client sites.

Work Conditions:

  • Primarily office-based role, with occasional site visits to client locations as needed.
  • Regular business hours; some flexibility may be required to meet tender deadlines.
  • Prior experience in preparing tenders, bids, or proposals is preferred.
  • Strong understanding of business correspondence and professional communication.

Job Types: Full-time, Permanent
