Role Description

We are seeking a detail-oriented and highly organized
Guidance Secretary
to support the operations of the Guidance Office at St. Jude's Academy. This is a full-time, on-site position located in Mississauga, ON. The Guidance Secretary will provide essential administrative support to the Guidance Counsellors, faculty, and students while ensuring smooth daily operations within the department.

Key responsibilities include:

  • Managing and maintaining student records, including transcripts, report cards, and confidential files.
  • Assisting with the coordination of university and college applications, scholarship information, and student documentation.
  • Scheduling student appointments with Guidance Counsellors and maintaining the guidance office calendar.
  • Using current school platforms to support students with their schedules, class changes, etc.
  • Supporting students and parents by answering inquiries and directing them to the appropriate staff member.
  • Preparing correspondence, reports, and forms as required by the Guidance Department.
  • Assisting with the organization of guidance-related events, such as university fairs, workshops, and student information sessions.
  • Ensuring the guidance office remains well-organized, welcoming, and efficient.

Qualifications

  • Strong administrative and organizational skills with attention to detail
  • Excellent verbal and written communication skills
  • Proficiency with Microsoft Office Suite, Google Workspace, and student information systems/databases
  • Ability to handle sensitive and confidential information with discretion
  • Previous experience in an educational setting is an asset
  • High school diploma required; post-secondary education in administration, office management, or a related field preferred
