Job Summary
The Administrative Assistant to the Director of Community Services provides high-level administrative, organizational, and coordination support to the Director. This position plays a key role in supporting the effective operation of the Health, Education, and Daycare departments by ensuring efficient communication, documentation, scheduling, reporting, and coordination with internal and external stakeholders. The role requires professionalism, confidentiality, strong organizational skills, and the ability to work in a dynamic community-focused environment.
Key Responsibilities and Duties:
Administrative Support
- Provide comprehensive administrative support to the Director of Community Services, including managing calendars, scheduling meetings, and coordinating travel arrangements.
- Maintain organized filing systems (electronic and hard copy) for departmental records, reports, policies, and correspondence.
- Receive, screen, and prioritize incoming communications on behalf of the Director, responding or redirecting as appropriate.
Coordination and Liaison
- Serve as a point of contact between the Director and internal staff, Council, Committees, community members, and external stakeholders.
Reporting and Documentation
- Assist with the preparation and compilation of departmental reports, program updates, and briefing materials for the COO, Council, and Board.
- Track deadlines, follow up on action items, and ensure timely submission of reports and required documentation.
- Support data collection and organization related to community programs, research initiatives, and service delivery outcomes.
Confidentiality and Professional Standards
- Handle sensitive and confidential information with discretion and professionalism.
- Uphold organizational policies, procedures, and cultural values in all aspects of work.
Other Duties
- Perform other related duties as assigned by the Director of Community Services to support departmental and organizational goals.
Qualifications
Education:
- Diploma or certificate in Office Administration, Business Administration, or a related field is required.
- An equivalent combination of education and relevant experience may be considered.
Experience:
- Minimum of 1-2 years of administrative assistant or executive support experience, preferably in a community services, health, education, or public sector environment.
- Experience supporting senior management or leadership roles is an asset.
Skills and Competencies:
- Strong organizational, time-management, and multitasking skills.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint) and other office software.
- Ability to prepare professional reports, correspondence, and presentations.
- Strong attention to detail and accuracy.
- Ability to work independently and collaboratively in a team environment.
- Knowledge of community-based services and Indigenous governance structures is an asset.
Working Conditions:
- Standard office environment with regular working hours, typically Monday to Friday.
- Occasional evening or weekend work may be required to support Council or community meetings.
- May require interaction with community members, government representatives, and external partners.
- Prolonged periods of sitting, computer use, and administrative tasks.
- Must be able to manage multiple priorities in a fast-paced environment while meeting deadlines.
Hours of Work
Your regular hours of work will be from 8:00am - 4:00pm for 7 hours per day from Monday to Friday and it is expected that all work will be completed within your regular working hours, however, you may be required from time to time to work outside your normal hours of work.
