Your Opportunity

FBM is seeking an experienced Senior Proposal & Communications Specialist to join our team, reporting to the Manager, Proposals and Communications. This is a key role responsible for managing the full proposal lifecycle — from RFP review to final delivery — in the pursuit of innovative, high-profile projects.

In addition to leading proposal efforts, this position supports firm-wide marketing and communications initiatives, including the development of marketing materials, social media content, and award submissions that enhance FBM's visibility and reflect our design excellence.

Responsibilities

The Opportunity: Strategy, Narrative & Design

This role serves as the strategic cornerstone of our proposal process—overseeing each phase from RFP review through development to final delivery. Combining strategic thinking with creative execution, you will shape the narratives and visuals that define how FBM presents its work to clients and partners.

Your expertise in both writing and design will ensure each submission reflects the creativity, precision, and excellence that define our practice.

  • Proposal Preparation: Leads the development and coordination of client proposals, from reviewing RFPs to producing comprehensive, well-crafted submissions.
  • Content Development: Partners with internal team leads to gather and refine technical content, ensuring all materials are engaging, relevant, and client-focused.
  • Design & Technical Expertise: Applies creative and technical skills in research, writing, layout, design, colour, and typography to deliver compelling, visually cohesive marketing materials. Expert in Adobe InDesign, Photoshop, and Illustrator for layout, image editing, typography, and infographics—producing proposal documents that reflect FBM's creativity and design excellence.
  • Time Management & Organization: Demonstrate initiative and judgment to effectively manage multiple tasks and projects in a fast-paced environment with tight deadlines.
  • Professionalism & Collaboration: Displays courtesy, tact, and diplomacy to every interaction, fostering positive working relationships across teams.
  • Industry Experience: Background in architecture, engineering, construction, or professional services is a strong asset.

Responsibilities:

Proposal Design, Development & Coordination (80%)

  • Manage the end-to-end proposal process in collaboration with the internal team lead:
  • Review RFPs to determine proposal requirements.
  • Draft, format, and edit proposal layouts using FBM's branded templates, adjusting layout, graphics, and text as required to meet RFP submission criteria.
  • Develop written content in partnership with FBM team leads.
  • Liaise with consultants to schedule and coordinate discipline-specific content for inclusion in the final submission.
  • Edit and proofread proposal materials as needed.
  • Schedule and facilitate internal reviews and approvals.
  • Prepare and submit the final RFP response package.
  • Attend proposal debriefs and contribute to continuous improvement initiatives.
  • Update & maintain the library of project descriptions, proposal resources, and staff CVs.
  • Support the project closeout process by gathering project details and developing project information sheets.
  • Consult with, or work directly alongside, Dillon Consulting's marketing communications and proposal management team.

Marketing & Communications (20%)

    • Develop and coordinate marketing materials including brochures, project sheets, presentations, and digital content for the studio website that reflect the firm's brand.
    • Plan, create, and manage social media content across platforms to highlight projects, culture, and thought leadership while driving engagement and visibility.
    • Support firm-wide marketing initiatives such as awards submissions and events, ensuring alignment with strategic goals.
    • Maintain and update marketing assets and data, including image libraries, project information, and performance analytics.


Qualifications

  • A degree or diploma in Graphic Design, Communications, Marketing, or a related field
  • Preferably 3+ years' experience in a similar role


Experience

  • Strong writing, editing, and storytelling skills
  • High-level proficiency in Adobe InDesign, Illustrator, Photoshop, and MS Office
  • Organized, detail-oriented, and comfortable with competing deadlines
  • Demonstrated ability to manage multiple pursuits simultaneously while collaborating with diverse internal and external teams.
  • Comfortable working independently while collaborating closely with partners
    and team leads
  • Familiarity with project procurement in the architecture, engineering, or construction industries is an asset
