ROLE PURPOSE

The Tenant Relations Coordinator will oversee the daily operations and management of residential properties owned by Connective, within their region. This position ensures the properties are maintained to high standards, comply with regulations, and provide a safe and supportive environment for residents.

STATUS AND CLASSIFICATION

Exempt. This position is open to applicants of all genders.

  • Full Time (40 Hours a week)
  • Rotations:
  • Monday- Friday

REPORTING AND WORKING RELATIONSHIPS

  • Reports and is accountable to the Maintenance & Asset Manager in their region
  • Participates as a member of the Connective Administrative Support Team.
  • Liaises with the staff of Connective as necessary.
  • Liaises with external professionals from other agencies, contractors, and/or government agencies as required.

KEY ACCOUNTABILITIES

Administration

  • Maintains an up-to-date list and schedules of all planned and unplanned maintenance, as well as repairs for assets.
  • Collects rent, tracks payments, and follows up on delinquent accounts.
  • Collaborates with social service staff to support residents in accessing financial resources.
  • Serves as the primary point of contact for residents, addressing questions, concerns, and requests in a timely and respectful manner.
  • Collaborates with the Maintenance and Administrative Coordinator to ensure repairs are resolved in a timely manner.
  • Prepares leases and notices.
  • Facilitates conflict resolution and mediate tenant disputes.
  • Maintains high occupancy rates while adhering to Connectives mission to provide safe and affordable housing.
  • Conducts inspections and documents property conditions.
  • Maintains property records.
  • Assists the Maintenance and Asset Manager in the development of annual repair schedules, budgets, and capital plans as requested.
  • Researches options and makes recommendations related to property, appliances, furniture, and service providers.
  • Approves invoices and coordinates payment for external contractors related to the work completed within their region.
  • Develops and manages vendor relationships for contracted services.

Other Duties

  • Participates in Connective staff meetings
  • Other duties may be assigned occasionally

WORKING CONDITIONS

  • Function independently with the general guidance of the Maintenance and Asset Manager.
  • Demonstrate a level of emotional resilience to effectively carry out the required duties and to meet the operational needs of the residence.
  • Is available to work flexible hours which may include evenings/weekends as determined by program needs and schedules.

EXPERIENCE AND SKILLS

  • Grade 12 level education and/or equivalent with two-years related experience
  • Experience in establishing and maintaining a collaborative and positive relationship with residents and other staff
  • Ability to manage time efficiently, with a high level of accuracy, and attention to detail
  • Ability to establish and maintain effective and professional working relationships with contractors
  • Strong communication skills (listening, verbal, and written)

REQUIREMENTS

  • Ability to successfully complete a Children and Vulnerable Persons Criminal Record Check
  • Ability to successfully pass a reference check
  • Valid Class 5 Driver's License
  • Flexibility to travel throughout the region
  • Proof of vaccination for communicable diseases may be required as mandated by Government, Health Authority, and/or funder requirements

COMPENSATION

The wage range for this position is $49,400- $61,800

Important: Candidates must be legally authorized to work in Canada, observe their weekly hours limit if under a temporary or study visa, and provide proof of eligibility if selected for the role.
