KixCare is seeking a
Remote Bilingual Patient Care Coordinator ( Part-Time)
with experience in virtual care to make sure that every parent, child, doctor, and allied health provider has a great healthcare experience. You will use our electronic medical record and 100% virtual care platform to make things as smooth as possible for patients and providers alike.
Responsibilities
Care Coordination
– schedule incoming appointments, confirm patient demographics and contact information, validate health cards, process and confirm private payments (as applicable), load and manage provider schedules, manage inbound and outbound referrals, submit provincial billing items.
Platform Development
– optimize clinical workflows for providers, identify potential improvements for patient experience, collect and report on user feedback.
Patient and Provider Support
– monitor patient and provider support lines (email, phone calls) to answer technical- and support-related questions in a professional, timely and friendly manner.
General duties
– develop, maintain and execute on our standard operating procedure (SOP) documents outlining your day to day responsibilities. Organize daily hand-off reports to those working the next shift. Keep patient and provider information confidential at all times.
Qualifications
Required
- 3+ years of experience working in medical office administration
- Exceptional communication and written communication skills
- Exceptional attention to detail, and organizational skills
- Ability to work independently and take initiative
- Ability to have a flexible schedule ( day, evening, weekends on rotation)
- Intermediate understanding of Microsoft Office programs, including Outlook, Word, Powerpoint and Excel
- Minimum high school diploma; college diploma or other post-secondary credential preferred with training in medical administration a strong asset
- Perfectly fluent in English and French
Nice To Have
- Experience with TELUS EMR systems, virtual patient care/telemedicine platforms
- Understanding of government billing (e.g., RAMQ/OHIP) and private payment processors (e.g., Stripe/Credit Card processing)
- Experience working with First Nation communities

Responsabilités
Coordination des soins
– planifier les rendez-vous, confirmer les données démographiques et les coordonnées des patients, valider les cartes d'assurance maladie, traiter et confirmer les paiements privés ( selon le cas), remplir et gérer les horaires des prestataires, gérer les références entrantes et sortantes, soumettre les factures provinciales.
Développement de la plateforme
– optimiser les procédures cliniques pour les prestataires, identifier les améliorations potentielles pour l'expérience des patients, recueillir et rapporter les commentaires des utilisateurs.
Assistance aux patients et aux prestataires
– surveiller les lignes d'assistance aux patients et aux prestataires (courriels, appels téléphoniques) afin de répondre aux questions techniques et de soutien de manière professionnelle, rapide et amicale.
Tâches générales
– développer, actualiser et exécuter nos procédures opérationnelles standard (SOP) décrivant vos responsabilités quotidiennes. Organiser les rapports quotidiens de transfert à ceux qui travaillent pendant le quart suivant. Préserver la confidentialité des informations relatives aux patients et aux prestataires à tout moment.
Qualifications
Requis
- Au moins 3 ans d'expérience dans l'administration d'un cabinet médical
- Excellentes compétences en communication orale et écrite
- Grand sens du détail et excellentes compétences organisationnelles
- Capacité à travailler de manière autonome et à prendre des initiatives
- Capacité à avoir un horaire flexible (jour, soir, week-ends sur rotation)
- Connaissance intermédiaire des programmes Microsoft Office, notamment Outlook, Word, Powerpoint et Excel
- Diplôme d'études secondaires minimum ; diplôme universitaire ou autre diplôme d'études supérieures préféré, avec une formation en administration médicale, un atout important
- Parfaite maîtrise de l'anglais et du français
Atouts
- Expérience avec les systèmes DME de TELUS, les plateformes virtuelles de soins aux patients/télémédecine
- Compréhension de la facturation gouvernementale (p. ex. RAMQ/OHIP) et des processeurs de paiement privés (p. ex. Stripe/traitement des cartes de crédit)
- Expérience de travail avec les communautés des Premières Nations
