What You'll Accomplish in This Role
Accounts Receivable & Reporting
- Coordinate the full A/R collection process for assigned properties
- Enter cheques into Yardi, complete cash application, and generate daily cash/audit reports
- Prepare bank deposits and liaise with head office
- Manage tenant collections, reconciliations, and account follow-up
- Submit A/R adjustments for approval and enter approved updates in Yardi
- Prepare narrative aged receivable reports for mid-month and month-end
Tenant Coordination
- Prepare and issue rental advice notices for new leases and annual cycles
- Update tenant move-in, move-out, and overholding changes in Yardi
- Coordinate final utility meter readings and billing changes
- Maintain accurate tenant and vendor contact lists
Property Management Support
- Receive, triage, and respond to tenant service requests via phone, email, or in-person
- Draft All-Tenant communication materials and maintain up-to-date welcome/move-in packages
- Support lease renewal notifications and general tenant correspondence
- Ensure all communication is professional, timely, and accurate
Administrative Support
- Provide daily administrative support to the Property Manager
- Serve as the front-line tenant contact, resolving inquiries and ensuring follow-up
- Prepare tenant chargeback invoices accurately and promptly
- Draft tenant notices, letters, and general correspondence
- Maintain accurate lease data and tenant information in Yardi
- Review monthly rent rolls for billing accuracy
- Work with Accounts Payable to code expenses correctly
- Maintain current insurance certificates for tenants and trades
- Assist with the preparation of monthly ownership reports, including executive summaries
- Support special projects and operational initiatives as needed
What You'll Bring to the Table
- Minimum
1 year of experience
in commercial property administration - Strong decision-making abilities and a high level of tenant service orientation
- Excellent verbal and written communication skills
- Strong organizational skills, accuracy, and attention to detail
- Proficiency in MS Word and
strong Excel skills - Yardi experience strongly preferred
- Ability to work effectively in a fast-paced, deadline-driven environment
- Professional, confidential, and reliable work ethic
- A proactive, hands-on attitude with the ability to manage multiple priorities
