This is a permanent full-time position that will commence as soon as possible.
Role Overview:
The Transportation Officer provides administrative, financial, organizational, analytical, and logistical support to the transportation department to ensure safe, effective, efficient, and responsive service delivery to students and staff across the school division.
What you will do:
- Act as a central point of communications contact for the department, directing inquiries to appropriate staff and ensuring accurate and timely follow up to drivers and other staff, parents, vendors, and third parties. Methods of communication include phones, voicemail, texts, email, and letters.
- Responsible for the upkeep, accuracy, and reliable operation of bus route planning software, including collaboration with IT to ensure optimal functionality.
- Manage technology applications such as School Messenger, MSS, BusPlanner, and updates to InSite to ensure information is up to date and accurate.
- Design, evaluate, and monitor 150+ bus routes for 4,500+ students across the school division, balancing considerations of safety, efficiency, student ride times, and available resources.
- Provide support to human resources processes by independently and accurately completing functions such as absence tracking, leave requests, booking of substitute drivers to cover absences, substitute driver record keeping, onboarding for new bus drivers, and payroll.
- Develop and maintain accurate, current, and accessible electronic and paper information systems and tracks and compiles data required for project schedules, internal department reports, and public reports.
- Provide support to safety processes through duties such as independently and accurately booking services, tracking driver license renewals, managing circle check documentation, and completing other operational requirements, paying careful attention to follow requirements as per regulations, administrative procedures, and Division practices.
- Manage the charter booking system to accommodate curricular and extra-curricular trips, adhering to system standards and processes.
- Anticipate key events, activities, and deadlines and prepare/organize reference materials, correspondence, files, and meeting material.
- Code invoices, expenses, and purchasing card transactions ensuring proper signatures, in an accurate and timely manner for processing by finance.
- Prepare and distribute documents, letters, reports, spreadsheets, and other information as required, including documents for onboarding new bus drivers.
- Work under the direction of the Transportation Manager for day-to-day activities.
- Perform other duties as assigned by the Transportation Supervisor.
What will make you successful:
- Diploma in Business Administration or related area.
- Minimum three years of related experience.
- Experience in bus route planning and/or transportation logistics is a definite asset.
- Excellent working knowledge of Microsoft Office particularly in Word, Excel and Outlook; knowledge of department-specific applications such as School Messenger, GPS software, MSS and BusPlanner would be an asset.
- Ability to independently initiate and organize projects to achieve work process efficiencies.
- Ability to establish effective working relationships and communication at all levels in the organization.
- Ability to work in a fast-paced environment and effectively manage high volumes of work.
- Ability to manage confidential material and maintain staff and student privacy.

- Sick leave entitlement: earned at a rate of 2 days per month to a maximum accumulation of 180 days
