Role Responsibilities

Do you have an extensive knowledge of Office, HR, and personnel policies related to administrative staff, and the reliability and strong decision-making abilities needed to lead your own team? If so, you may be ready for an opportunity supervising administrative assistants within the Trust Administration team. 

Reporting to the Manager of Trust Administration, the Supervisor, Trust Administration Assistants is responsible for the completion of a diverse range of tasks within trust administration. The incumbent will be responsible for training Trust Administration Assistants and managing all tasks and responsibilities assigned to a team of assistants. The incumbent will also be responsible for other projects that arise within trust administration.

Responsibilities include, but are not limited to:

  • Supervising a team of Trust Administration Assistants in accordance with good supervisory practices and consistent HR policies.
  • Providing advice and assistance to trust administration in the development and maintenance of precedent documents.
  • Managing workflow to ensure timely and accurate payment of client invoices.
  • Managing ongoing monitoring activities and benefit applications for represented adult clients.
  • Managing other projects and tasks administration as required

Qualifications

Minimum Requirements:

  • High school diploma and four (4) years of related and progressively responsible experience. 

The successful candidate will possess:

  • Extensive knowledge of office, human resource and personnel policies and procedures relating to the division and to the administrative support staff.
  • Extensive knowledge of legal procedures and a thorough knowledge of computer technology.
  • Extensive knowledge of Microsoft Operating Systems.
  • Strong communication ability when dealing with both technical and non-technical users.
  • Exceptional knowledge of English grammar and spelling.
  • Strong organizational skills.
  • Ability to quickly adapt to rapidly changing business priorities.
  • Ability to work independently or as part of a team.
  • Up to date knowledge on industry trends and directions.

Equivalency: Directly related experience or education considered on the basis: one year of experience for one year of education or one year of education for one year of experience. 

Assets:

  • Knowledge of various computer software programs (Microsoft Office, SharePoint etc.) at an advanced level acquired through related education or a combination of education and experience.
  • A diploma in a related field.
  • Knowledge of legal documents and terminology.
  • Knowledge of policies, procedures and requirements of the Public Trustee, the Courts, Land Titles Office and other registry offices.
  • Familiarity with legal abbreviations, texts, Alberta Statutes and Rules of Court.
  • Experience with PTIS system.
  • Knowledge of various Acts, Regulations and Legislation with respect to Trust Administration.
  • Extensive "hands-on" computer programming experience.
