Job Summary
We are a labour union seeking a Receptionist/Data Entry to join our dynamic team.
Duties
- Accurately input data into system and spreadsheets
- Maintain and update records with high precision, ensuring data integrity
- Organize and file physical and digital documents for easy retrieval
- Collect, verify, and compile data from various sources to support records
- Assist with administrative tasks as needed to support team
- Greeting and directing visitors in a professional manner
- Answering Phone: Answering, screening, transferring calls, taking messages.
- Managing correspondence, including receiving, sorting, and distributing incoming and outgoing mail and deliveries.
- Performing general clerical tasks such as typing documents, filing (paper and electronic), data entry, and managing office supplies.
- Handling basic inquiries from union members, clients, or the general public, often requiring knowledge of relevant policies or procedures.
- Processing payments or fees for various services, when required.
- Ensure confidentiality of sensitive information at all times
- Keeping reception area tidy and presentable.
Skills
- Microsoft Office particularly in Excel, Word and Outlook
- High level of accuracy and attention to detail with numerical data
- Excellent verbal and written communication skills
- Strong organizational and time management skills
- Excellent organizational skills with the ability to prioritize and manage multiple tasks efficiently
Requirements
- Knowledge of data entry best practices and clerical procedures
- Strong communication skills and a professional attitude
- Previous experience in a receptionist, administrative, or data entry role is preferred
- Experience with accounts receivable, reconciliations, and budgets tracking is an asset
- Strong numerical aptitude for data entry related to monetary transactions and union dues
- Reliable, punctual, and professional in conduct and appearance
