SALARY/WAGE: $80,000-$120,000 annually (commensurate with experience)

JOB SUMMARY:
The Agency is assisting in the confidential recruitment of a full time Dispatcher for a local oilfield company.

The successful candidate will coordinate and optimize the scheduling and movement of equipment and personnel. This role involves overseeing daily transportation activities, assigning routes, communicating with drivers, and resolving unexpected challenges to ensure safe, efficient, and timely operations.

RESPONSIBILITIES:

  • Coordinate and dispatch drivers for pick-up and delivery of loads, assigning routes and schedules in alignment with work requirements and contracts.
  • Verify that drivers remain within hours-of-service regulations when dispatching.
  • Obtain all necessary permits required for each load.
  • Optimize routes for efficiency by monitoring road conditions, restrictions, construction zones, and other factors, adjusting as needed.
  • Review and verify documentation, including daily logs, inspection reports, delivery receipts, vehicle inspections, and hours-of-service records.
  • Process drivers field tickets daily, audit logbooks and FLRAs, and review GPS reports for accuracy and compliance.
  • Ensure drivers have complete and accurate paperwork before dispatch and maintain compliance with TDG, HSE, federal and provincial regulations, and company maintenance standards.
  • Review and approve timesheets, ensuring supporting documents (BOLs, POs, AFEs, rates, etc.) are complete and accurate for billing.
  • Schedule and prioritize jobs, coordinating closely with the maintenance team to minimize downtime and maximize efficiency.
  • Maintain accurate dispatch records and daily crossover notes to ensure seamless communication across the team.
  • Communicate with customers regularly to provide updates, gather feedback, and identify opportunities to improve operational performance.
  • Assist with onboarding and training of new drivers.
  • Support business development efforts by identifying new opportunities and maintaining strong relationships with existing clients.
  • Prepare BOL packages, bids, and related documentation for management review.
  • Provide insight into market trends, customer activity, and competitor information to support quoting and operational decisions.

REQUIREMENTS:

  • Strong understanding of transportation regulations and compliance standards.
  • Proven ability in route planning, scheduling, and optimization.
  • Proficiency with dispatch and logistics software.
  • Excellent time management and multitasking skills to meet tight deadlines.
  • Strong problem-solving, decision-making, and critical thinking abilities.
  • Clear and professional verbal and written communication skills.
  • Active listening skills with the ability to understand and respond to driver needs.
  • Conflict resolution and negotiation skills to manage issues calmly and effectively.
  • Capable of coordinating emergency or time-sensitive situations.
  • Team-oriented with a collaborative approach to working with drivers and internal departments.
  • Ability to remain calm and composed under pressure.
  • Empathetic and understanding toward the challenges faced by drivers.
  • Skilled in building and maintaining professional relationships with colleagues and customers.
  • Culturally sensitive and inclusive when working within a diverse workforce.
  • Physically capable of performing light lifting, bending, squatting, and kneeling as required.
