The PositionThe Operations Coordinator is a key role supporting both internal operations and client-facing processes. You'll be the central hub that keeps workflows running smoothly, ensures follow-through on commitments, and manages the administrative and operational details that help our Controllers stay focused on client delivery.
What You'll DoClient-Focused Responsibilities
- Attend prospective client meetings and assist with onboarding and setup.
- Track and monitor weekly deliverables to ensure nothing slips through the cracks.
- Maintain client coverage schedules to ensure service continuity during employee absences.
- Review, report, and follow up on accounts receivable and support the billing process.
- Coordinate client recognition activities and contribute to a positive client experience.
Internal Operations Responsibilities
- Create and maintain templates, SOPs, and workflow tools.
- Update and manage tracking dashboards and KPIs.
- Serve as administrator for CAS software systems.
- Coordinate onboarding logistics for new team members.
- Participate in monthly marketing meetings and support team initiatives.
What You'll Bring
- 8+ years of experience in administrative, operational, or coordinator roles — ideally within an accounting, finance, or professional services environment.
- Strong working knowledge of accounts receivable, payroll, and basic accounting principles.
- Demonstrated experience with reporting processes and Excel-based tracking tools.
- High proficiency with Microsoft Excel and cloud-based accounting software.
- Exceptional organizational and time-management skills, with the ability to juggle multiple priorities.
- Skilled at holding others accountable, constructively and ensuring consistent follow-through.
- Sharp attention to detail, with strong written communication skills - especially in documenting processes and procedures.
