The Role

As a Customer Service Representative, you will be a primary point of contact for policyholders and a key support to our agents. You will handle inquiries, process documentation, maintain accuracy across administrative tasks, and provide friendly, knowledgeable service both on the phone and at reception. Your responsibilities will include:

  • Providing information to policyholders and triaging calls for agents in a professional, friendly manner
  • Assisting with agent administrative follow-ups
  • Ordering required reports such as MVRs, AutoPlus, and land title searches
  • Preparing new applications, quotes, renewals, and temporary liability cards (pink slips)
  • Issuing endorsements to Underwriting on behalf of agents when requested
  • Validating VIN accuracy using IBC's VIN decoder
  • Supporting correspondence with lawyers and dealerships (e.g., proof of insurance)
  • Acting as a main point of contact for agents when they are away
  • Performing reception duties, including payments, daily reconciliations, mail handling, and maintaining an organized reception area

What We Are Looking For

We're seeking a customer-focused and detail-oriented Customer Service Representative who thrives in a fast-paced service environment, can juggle multiple priorities with professionalism, and brings strong communication skills, sound judgment, and a commitment to accuracy.

Experience & Expertise:

  • Minimum three years of related experience in customer service, insurance support, or administrative roles.
  • Ability to assist with preparing new applications, quotes, renewals, endorsements, and temporary pink slips.
  • General knowledge of commercial, farm, residential, and automobile insurance is an asset.
  • Understanding of the mutual insurance system and philosophy is an asset.

Education & Designations:

  • Postsecondary education or equivalent training and work experience.
  • Other Than Life (OTL) General Insurance Agent License must be obtained within the first three months of the role.
  • Valid driver's license and reliable transportation.

Technical Skills:

  • Proficiency in Microsoft Office (Word, Excel, Outlook).
  • Experience with insurance software is an asset.
  • Strong written and verbal communication skills with the ability to explain information clearly and professionally.
  • Ability to manage competing demands, prioritize effectively, and maintain accuracy in all workflows.
  • Sound judgment, strong problem-solving skills, and the ability to work independently within defined processes.
  • Ability to navigate urgent situations calmly and professionally.
  • Strong organizational skills with the ability to process documents accurately and maintain proper records.
  • Ability to handle confidential and sensitive information with discretion.
