Position Title: Office Administrator

Reports To: Office Manager / Supervisor

Employment Type: Full-Time

Position Overview

The Office Administrator will provide essential administrative support to ensure smooth day-to-day operations of our quarry and stone sales business. This role involves managing sales administration, dispatching trucks, coordinating reporting, and supporting general office functions. The successful candidate will be detail-oriented, organized, and able to adapt to a variety of responsibilities while working as part of a collaborative team.

Key Responsibilities Sales & Dispatch

  • Process and administrate dimensional stone sales.
  • Process and administrate aggregate stone sales.
  • Track and invoice soil importation.
  • Coordinate and dispatch trucks for stone and aggregate deliveries.
  • Communicate with quarry personnel to confirm loads.

Administration & Reporting

  • Prepare purchase orders and process invoices.
  • Collect Accounts Receivable (AIR).
  • Maintain and organize stone, soil, and aggregate tickets and reports.
  • Prepare load sheets for dispatch.
  • Compile weekly load reports and revenue-to-date reports when required.
  • Prepare monthly AIR and haul road reports.

Coordination

  • Act as Insurance Coordinator for renewals and communication.
  • Act as Fleet Data Coordinator (track and maintain fleet records).
  • Act as License Renewal Coordinator (ensure LIC renewals are up to date).
  • Coordinate orders for skids and supplies as needed.

General Office Duties

  • Answer phones and emails in a professional manner.
  • Provide customer service and sales support.
  • Maintain a clean and organized office environment.
  • Perform general office tasks as assigned.
  • Fill in for other office team members when required.

Job Type: Full-time

Pay: From $21.00 per hour
