Role Description

This is a part-time on-site role for a Client Services Coordinator. The role is located in North Vancouver. The Client Services Coordinator will be responsible for providing exceptional client services, handling customer inquiries, and coordinating administrative tasks. Duties include managing client appointments, maintaining client records, supporting the sales team, and facilitating effective communication between clients and the company.

Key Responsibilites

  • Greet clients in a professional, friendly, and welcoming manner
  • Manage appointment bookings (phone, email, online platform)
  • Confirm, reschedule, and follow up on appointments as needed
  • Process check-ins, check-outs, and payments
  • Provide information about services, skincare products, and promotions
  • Support treatment delivery by preparing and applying under the supervision of licensed staff
  • Upsell or recommend retail products based on client needs
  • Maintain a clean and organized front desk and retail area
  • Assist with inventory, stocking, and displays of skincare products
  • Handle client inquiries or concerns, escalating to clinical staff as needed
  • Support marketing efforts (reminders, social media replies, etc. if applicable)
  • Maintain client records and confidentiality in compliance with privacy standards

Qualifications & Skills

  • Fluent in English and Mandarin (spoken and written)
  • Previous experience in a spa, medspa, beauty, or customer service setting is preferred
  • Strong communication and interpersonal skills
  • Familiarity with skincare or medical aesthetics is an asset
  • Comfortable with point-of-sale systems and appointment scheduling software
  • Well-groomed, professional appearance
  • Ability to multitask, stay organized, and remain calm under pressure
  • Positive, team-oriented attitude
