Job Summary:
We are seeking a highly organized and detail-oriented Administrative Supervisor to join our team. The ideal candidate will have previous experience in a supervisory role and possess strong leadership skills. In this role, you will oversee the daily operations of our administrative team and ensure that all tasks are completed efficiently and accurately. The Administrative Supervisor will also be responsible for managing employee schedules, providing training and support, and maintaining a high level of customer service.
Key Responsibilities:
* Plan, organize, direct, control, and evaluate the daily operations of the administrative department to ensure efficient and effective service delivery.
* Direct, guide, and support administrative staff by assigning tasks, monitoring performance, and ensuring adherence to departmental procedures and service standards.* Interview, hire, train, and coach new and existing team members to maintain a skilled and knowledgeable workforce.
* Develop, review, and improve administrative processes, workflows, and documentation systems to enhance operational efficiency and productivity.
* Plan, administer, and control budgets for office supplies, equipment, and service contracts, ensuring cost-effective resource utilization.
* Monitor and maintain inventory of office materials and equipment, ensuring availability and operational readiness.
* Manage escalated issues, team conflicts, and complex administrative matters, ensuring timely and effective resolution.
* Conduct regular staff performance evaluations and provide constructive feedback to support employee development and departmental goals.
* Serve as the primary point of contact for client or internal stakeholder inquiries, ensuring timely responses and high service standards.
* Collaborate with other department leaders to coordinate activities, ensure compliance with organizational policies, and support seamless cross-departmental operations.
* Prepare operational summaries, reports, and performance briefs for management to support evaluation of administrative services and decision-making.
* Ensure all administrative tasks and compliance requirements are completed accurately, within deadlines, and in accordance with corporate governance and regulatory standards.
Qualifications:
• High school diploma or equivalent; Bachelor's degree in Business Administration or related field is preferred
• Minimum of 3 years of experience in a supervisory role, preferably in an administrative setting
• Strong leadership and communication skills
• Proven ability to manage and motivate a team
• Excellent organizational and time-management skills
• Proficient in Microsoft Office and other relevant software
• Ability to handle multiple tasks and prioritize effectively
• Customer service-oriented mindset
• Knowledge of HR policies and procedures is an asset
Working Conditions:
• Full-time, 40 hours per week
• Monday to Friday, with occasional evening or weekend work as needed
• Located in Calgary, AB, Canada
