Reporting to the Senior Director of Affordable Housing and Property Management, the Regional Property Management Supervisor provides leadership on all property management issues, policies, procedures and plans for Edmonton, Grande Prairie and supports other cities as required. In close collaboration with TMS Housing Manager within these cities, they administer all functions related to tenancy for TMS housing locations for supportive housing and affordable housing. The supervisor is responsible for leases, rent collection, landlord and tenant relations, working with funders, and ensuring the building operates as a safe, secure and healthy living environment according to best industry and management practices and The Mustard Seed policies.

DUTIES AND RESPONSIBILITIES:

  • Oversee tenancy management including executing leases, renewals, rent collection, notices
  • Oversee and execute lease agreements, move-in and move-out inspections
  • Collect rent, maintain accurate ledgers, and report rent collections to Finance department
  • Coordinate move outs, unit clean outs, and repairs
  • Carry out eviction proceedings
  • Ensure acceptable living standards, compliance with building codes, bylaws and tenancy license standards are maintained in housing locations
  • Ensure compliance with the Residential Tenancy Act, and legislative, and health and safety policies
  • Ensure the property complies with codes, municipal bylaws, tenancy licence standards, and funder requirements
  • Process and maintain accurate documentation for all leases, ledgers and landlord and tenant communications
  • Communicate with the various teams and tenants on issues affecting the property including reporting
  • Respond to general day-to-day property enquiries and concerns from Housing staff and tenants
  • Ensure building cleanliness is maintained, in collaboration with facilities and/or janitorial staff
  • Resolve maintenance and repair issues, with collaboration of Facilities team and/or funder
  • Initiate and administer insurance claims with insurers, based on policy
  • Maintain statistics and prepare reports as required
  • Abide by all Health and Safety protocols, reporting incidents, near misses and hazards in a timely manner
  • Ensure systems and protocols are in place for all of the above
  • Other duties as may be assigned

MINIMUM QUALIFICATIONS AND SKILLS

  • Minimum 5 years of work experience in property management
  • Experience in managing budgeting and contracts
  • Experience with property management system, RealPage an asset
  • Understanding of the Alberta Residential Tenancy Act and The Continuing Care Act
  • Strong administrative, writing, documentation and computing skills including proficiency in Microsoft Office, with an eye for detail and accuracy
  • Ability to multi-task in a fast-paced environment which includes managing multiple priorities and working on multiple projects concurrently
  • Understanding of homelessness and desire to work with marginalized individuals, including those with mental health and addiction barriers.
  • Ability to work within a cross-functional team and supervise remote teamHigh level of professionalism in all aspects of work including being organized, confident, self-directed and proactive
  • Strong customer service and conflict resolution skills
  • Strong oral and written communication skills
  • Ability to exercise a high level of confidentiality
  • De-escalation training and techniques
  • Must have reliable transportation to travel to site
  • Valid driver's license, a reliable vehicle and $2 million liability insurance

WORKING CONDITIONS

  • Work week is generally Monday to Friday, including on call as required
  • Travel to The Mustard Seed residential buildings including within Edmonton, Grande Prairie and other cities as required
  • Moderate to significant mental effort is required: periods of high-volume workload, interaction with vulnerable tenants, a high degree of change, providing information, resolving discrepancies and responding to intense situations
  • Employees are to be aware that our clients may experience difficulties or impairment at times, which could result in them uttering threats, discriminatory statements and other insults at your person. They may raise voices, or present unpredictable behaviour up to and including the possibility aggression.
    • Training on how to respond is provided, but this is to be considered typical working conditions. Many of our clients are unaware of the impact of these comments.
  • Moderate physical effort is required in this role: keyboarding, lifting (up to 50lbs), sitting, standing, walking, climbing stairs and driving

ADDITIONAL REQUIREMENTS

  • As The Mustard Seed is a Christian ministry, we require our employees sign an agreement indicating that they will respect and not detract from our Statement of Faith.
  • Must have legal authorization to work in Canada on a full-time basis for anyone other than current employer
  • Employment Security check is required

This position requires the use of a personal vehicle for company use and a company Vehicle. The candidate must have a valid driver's licence, maintain $2M Vehicle Liability insurance on the vehicle being used and consent to or provide a driver's abstract.
