Position Summary
: The Program Coordinator will provide vital administrative and coordination support to the Technical Services and IPM teams, while also assisting the Sr. Director of Technical Services. This role ensures the smooth execution of projects and contributes to the effective delivery of organizational initiatives through reliable administrative oversight and collaboration.

Responsibilities

  • Provide general administrative support, including document preparation, coordination, and assistance with team operations
  • Assist in planning and coordinating tech services, intensification and pest management team activities
  • Monitor team deadlines, appointments, and follow-up actions to ensure timely completion of tasks
  • Liaise with IPM team regularly to coordinate and schedule pest control activities to ensure timely and effective implementation
  • Maintain and update pest management records and databases, ensuring accuracy and consistency across monitoring logs, treatment information, and activity reports for all units and common areas
  • Maintain and update tracking documents, incorporating automated tools to support internal controls, management, and reporting
  • Assist teams with the annual and quarterly budget updates and process
  • Maintain an organized and efficient electronic filing system to ensure easy access and accurate recordkeeping
  • Lead, monitor, support and update documents stored in CAPREIT's EHS and Operations Management software (Ops-In-A-Box)
  • Provide administrative support in contract management, including document handling, tracking, and coordination of related processes
  • Compile monthly, quarterly, and ad hoc reports as required
  • Other projects as assigned by the Sr. Director, Technical Services

Qualifications

  • Completed Diploma or Bachelor's degree with a Technical or Business major
  • 2 years related experience in Project Coordination or equivalent.
  • Proficiency in MS Office Suite with an emphasis on complex data manipulation in Excel
  • Strong attention to detail with a high level of accuracy and ability to manage multiple tasks simultaneously
  • Excellent organizational and time management skills
  • Demonstrated ability to work collaboratively, with a strong sense of teamwork and professional integrity
