Job Overview

We are seeking a highly organized, detail-oriented Senior Administrator to join our growing startup team. This role is ideal for someone who thrives in a fast-paced, in-person office environment and enjoys building structure, improving workflows, and supporting business operations.

The Senior Administrator will oversee daily office operations, provide exceptional customer and internal support, and ensure efficient workflow across our boutique HR firm. Experience in human resources, coaching office environments, or professional services is a plus, as is familiarity with bookkeeping, data entry, and process documentation.

This position plays a key role in maintaining a professional, welcoming, and highly organized environment for both clients and staff.

Key Responsibilities

  • Manage daily administrative and office operations
  • Perform accurate data entry, filing, and document proofreading
  • Create, document, implement, and maintain internal processes, workflows, and SOPs
  • Utilize Microsoft Office tools including Outlook, Dynamics, Teams, and Excel to prepare reports, maintain records, and support administrative functions
  • Handle customer service inquiries via phone and in person with professionalism and efficiency
  • Coordinate appointments, schedule meetings, and manage staff calendars
  • Maintain organized digital and physical filing systems
  • Manage office supplies, vendors, and workplace logistics
  • Support leadership with reporting, scheduling, and operational coordination
  • Assist with administrative projects to improve efficiency and workflow
  • Identify operational gaps and proactively recommend improvements
  • Maintain confidentiality and professionalism at all times

What We're Looking For

  • 5+ years of administrative, office management, or operations experience
  • Excellent organizational and multitasking skills with strong attention to detail
  • Proven experience with data entry, document management, and proofreading
  • Strong customer service background with professional communication skills
  • Ability to manage front desk responsibilities with courtesy and confidence
  • Analytical mindset with interest in improving systems and processes
  • Experience creating policies, procedures, or internal documentation is a plus
  • Comfortable working in a fast-paced startup environment
  • Proficient with Microsoft Office and/or Google Workspace tools
  • Self-starter with strong initiative and ownership mentality
