Job Summary
The elections team is responsible for administering the Fall and Winter referenda and the AMS and faculty society Winter elections. The elections team also works with the Society of Graduate and Professional Studies to conduct the Rector election. The Fall and Winter referenda including plebiscite questions to gauge the student body's opinion on certain issues, as well as fee questions for extra-curricular organizations, groups and clubs up for tri-annual review of optional or mandatory student fees. The Winter AMS executive election also coincides with different faculty society executive elections run through the AMS, as well as elections for other offices within the AMS.

Job Duties
Organize and prepare updated student activity fee and Triennial Review documentation that accurately reflects the current status of a group's activity fee
Become acting Chief Electoral Officer for faculties who do not have one, and assume duties outlined
Develop new methods to make online-based elections accessible and engaging to all students. Additionally, continue to redefine campaign and finance procedure to create updated online-centric campaign policies
Understand and interpret AMS assembly policy and procedure
Understand and interpret Student Activity fee policy and procedure
Understand and interpret the elections policy and constitution of all faculty societies, and consult with societies and updating their elections policy and frameworks
Hold Information Sessions and an All Candidates Meeting in both the fall and winter to outline rules, regulations and procedures surrounding campaigning for the Referendum and/or Elections. Additionally, hold preliminary information sessions in late November or December to reach students and allow members to understand elections procedure and position requirements
Ensure that volunteers and/or employees adhere to all health and safety regulations
Monitor volunteer and/or employee performance to mitigate disciplinary action in accordance with established procedures and notify Head Manager of any issues that arise
Exhibit a working knowledge of volunteers portfolios while ensuring work is being performed according to established standards
Ensure all student needs are addressed and handled professionally
Assist with new volunteer training by positively reinforcing successful performance and giving respectful and encouraging coaching as needed
Maintain a calm demeanor during periods of high stress
Maintain positive working relationships with relevant stakeholders related to all portfolios
Assist the Senior Manager in the development of a goal plan, budget, mid-year review, and any relevant capital expenditure proposals
Coordinate activities with the Senior Manager by scheduling work assignments, setting priorities, and delegating work accordingly
Participate as an active member on hiring panels to keep the service adequately staffed
Ensure that all employees comply with company policies, procedures, and ethical standards
Attend and fully participate in all in person and virtual meetings
Maintain consistent communication with all relevant stakeholders, responding to e-mails in a timely manner
Complete a thorough transition process with the incoming manager that includes one on one meetings and a transition manual
Complete other duties as assigned
