Summary of the role: RFR FY – Head Office Project Manager (November 2025)

  • This is a
    Facilities / Corporate Services Project Manager
    role — specifically managing a
    head-office renovation or relocation project
    .
  • managing the people, space, and logistics aspects of a major office move or renovation.

• Focus: Facilities and organizational change — head-office renovation/relocation.


• Type of Work: Internal operations, space planning, vendor coordination, change management.


• Primary Stakeholders: Design firm, general contractor, internal departments (Comms, IT, Facilities).


• Key Deliverables:

o Oversee renovation/relocation activities.

o Coordinate RFPs for contractors/vendors.

o Manage change and communications plans for staff relocation.

o Track project scope, budget, and readiness milestones.

Service Description

Our Client is seeking a Project Manager to lead and coordinate internal activities related to the renovation and/or relocation of its head office. This role will be instrumental in ensuring that internal planning, execution, and change management efforts are aligned with organizational goals and timelines.

The Project Manager will:


• Lead internal planning and change management efforts for the head office renovation/relocation project, including space planning, occupancy coordination, staff engagement, and coordination with internal stakeholders and leadership.


• Partner closely with the external design firm to ensure workspace and office design incorporates employee and leader feedback, operational requirements, and Our Client's future growth needs.


• Support RFP development for the general contractor and other third-party vendors, ensuring alignment with Our Client's functional requirements and strategic objectives.


• Act as the primary internal liaison between Our Client, the design firm, and the general contractor, ensuring internal deliverables and decisions are synchronized with external construction milestones and timelines.


• Facilitate organizational change management activities related to relocation or reconfiguration of workspaces, including staff communication, workspace readiness, and transition planning.


• Provide planning support and oversight for internal teams (e.g., Communications, IT, Facilities) responsible for specific deliverables tied to the project.


• Monitor and proactively manage project scope, schedule, budget considerations, risks, and dependencies; escalate issues and provide regular status reporting to Project leadership and the Project Portfolio Manager.


• Ensure alignment with Our Client's strategic priorities, including safety, accessibility, operational efficiency, sustainability, and future scalability

Education, Accreditation, and Work Experience:

Education:

  • Bachelor degree in computer science, business administration, health care administration or equivalent
  • Diploma in business administration, computer technology or equivalent

Accreditation:

  • Project Management Professional designation preferred.
  • Other designations may be considered – for example PRINCE2
  • Prosci certification is considered an asset.

Experience:

  • 7-10 years of experience managing integrated projects and teams
  • Experience working in a highly integrated environment

Qualifications

  • Strong project management expertise, with a proven ability to lead complex, multi-stakeholder initiatives from planning through execution. This includes:
  • Developing and maintaining detailed project plans, budgets and schedules.
  • Tracking progress against milestones and deliverables.
  • Proactively identifying risks and issues, and implementing mitigation strategies.
  • Providing clear, timely, and accurate reporting to senior leadership and stakeholders.
  • Working closely with the project sponsors, business owners, and leaders within the organization to ensure strategic alignment, timely decision-making, and sustained momentum.
  • Experience managing internal organizational projects, particularly those involving operational transitions, relocations, or infrastructure upgrades.
  • Strong change management skills, grounded in the Prosci methodology, including:
  • Designing and executing structured communication and engagement plans.
  • Facilitating stakeholder readiness and adoption.
  • Supporting teams through transition phases with empathy, clarity, and measurable outcomes.
  • Ability to coordinate across departments, ensuring alignment of internal deliverables with external contractor timelines and dependencies.
  • Proficiency in risk identification and mitigation, especially in environments with tight timelines, evolving requirements, and high visibility.
  • Availability onsite presence as required to support coordination, stakeholder engagement, issue resolution, and real-time decision-making.

Preference Will Be Given to Candidates With

  • Familiarity with construction project workflows and terminology to effectively liaise with the design firm's and the general contractor's project manager(s).
  • Experience contributing to or leading RFP development, including defining scope, evaluation criteria, and vendor coordination.

Deliverables

Deliverables for this engagement will include, but not be limited to:

The Project Manager will act as the project lead, coordinating vendors and internal teams to ensure successful delivery of project scope.

1. Project Leadership & Governance

  • Establish and maintain a detailed project plan, schedule, and dependency tracker aligned with vendor milestones and internal readiness.
  • Maintain a RAID log (Risks, Actions, Issues, Decisions) and ensure timely resolution and escalation.
  • Provide regular Status reporting, which includes risks and resource utilization as well as the information related to scope, schedule, and budget tracking required to assess Our Client's Project Delivery KPI performance

2. Vendor & Stakeholder Coordination

  • Serve as the central point of coordination between vendors and stakeholders.
  • Oversee vendor deliverables, confirming alignment with Our Client standards and contractual scope.

3. Change Management & Stakeholder Readiness

  • Lead development and delivery of change and communication plans in collaboration with internal stakeholders.
